About The Position

The Project Manager (PM), Medical Affairs provides project management support to the Medical Affairs AMR oncology team, with a focus on coordinating key collaborations and consortia. The role requires independent execution, prioritization across multiple projects, and effective communication with internal and external stakeholders. Reporting to a Senior Manager or above in Global Medical Affairs, the PM coordinates project activities, deliverables, and consortium engagements in collaboration with Regional Medical Leads and cross-functional partners (e.g., Legal, Compliance, Marketing, Market Access, Clinical Research). The PM manages day-to-day collaboration operations, including meetings, documentation, timelines, and action tracking, and supports development of scientific collateral and consortium deliverables. The PM participates in project management calls, synthesizes and communicates key updates internally, and ensures visibility, documentation, and compliant execution of consortium activities across relevant Illumina teams.

Requirements

  • 2-3 years project management experience, with demonstrated ability to lead, manage and execute
  • Managing experience of NIH-funded projects and strong understanding of grant rules and procedures.
  • Basic understanding of the role of Medical Affairs and familiarity with research is preferred.
  • Medical or scientific background preferred
  • Excellent verbal and written communication skills and interpersonal skills are required.
  • Strong organizational, problem solving, and computer technical skills (in Excel, PowerPoint, Word, and Outlook) are required.
  • Experience with project management tools (e.g. Jira, Smartsheet) is required.
  • The ability to multitask on a number of projects with tight timelines while maintaining excellent attention to detail is required.
  • Must be able to work independently and as a part of a team.

Responsibilities

  • Develop and maintain fully integrated project schedules and tracking tools to support accurate, cross-functional project management and ensure alignment across all functional areas
  • Schedule, organize, and drive project team meeting(s): prepare and distribute agendas/minutes; track action items, and escalate areas of concern to the appropriate management entity
  • Facilitate communication of sub-team issues & outcomes to the Regional and Clinical Research leadership
  • Manage the interfaces between functional areas and ensure effective handoff and communication between department functions to execute important project milestones.
  • Prepare status reports, specific asset updates, or scenarios
  • Participate in consortium governance and project management calls, serving as Illumina’s operational interface; synthesize and communicate key updates, risks, and changes internally, and ensure appropriate cross-functional alignment
  • Lead a cross-functional internal core team, coordinating and monitoring progress across consortium work packages (including FTE contributions per work package, in-kind reagent support, budget monitoring, and travel cost coverage), and ensuring regular, structured updates on project and consortium activities are provided to the Illumina project sponsor and/or steering committee
  • Ensure timely, accurate, and compliant documentation and manage or coordinate any required internal or external audits
  • Coordinate closely with the project lead to ensure alignment on timelines, deliverables, and reporting requirements
