The Oklahoma Nathan Shock Center for Excellence in the Basic Biology of Aging is one of only eight National Institute on Aging (NIA)-funded centers nationwide dedicated to advancing geroscience — the study of how aging impacts health and contributes to age-related diseases. Our mission is to accelerate progress in aging research by providing leadership, cutting-edge technology, mentorship, and collaborative opportunities to scientists working in this vital field, to find treatments and cures sooner. To help propel this mission, we're seeking a detail-oriented and proactive Senior Program Coordinator who will\: provide high-level administrative support to the Director of the NIA Oklahoma Nathan Shock Center through calendar management, correspondence, travel coordination, and meeting logistics; draft and prepare reports, presentations, and executive materials; Coordinate projects, events, and special initiatives; and anticipate executive needs and proactively offer solutions .

  • Oversees the administrative activities of a designated program or programs.
  • Assists the Director with calendar management, travel arrangements, and travel reporting and compliance .
  • Organizes, prepares, and keeps track of meetings, events, and other commitments of the Director .
  • Provides assistance to the Director with updating institutional records and other compliance activities .
  • Generates various types of communications and assembles internal and external reports .
  • Oversees and ensures personnel compliance with internal deadlines, and with institutional regulations and requirements .
  • Organizes and coordinates personnel meetings .
  • Responsible for daily program operations including staff supervision, program evaluations, and developing long-range plans.
  • Collects and analyzes data and prepares reports.
  • Ensures compliance with program regulations.
  • Plans and coordinates program events.
  • Develops and administers budgets for assigned projects and programs.
  • Negotiates and administers grants and contracts.
  • Plans and oversees project management.
  • Develops policies and procedures.
  • Performs related duties as assigned or as required to successfully fulfill functions of the position.
  • Bachelor's degree, AND: 48 months of related experience.
  • Equivalency Substitution: Will accept 48 months of experience in lieu of a Bachelor's degree to equal 96 months of related experience.
  • Highly organized and able to handle multiple projects and deadlines.
  • Able to effectively evaluate projects, programs, and produce comprehensive reports
  • Able to supervise staff and communicate directions and expectations effectively
  • Must be able to read and interpret policy as well as State and Federal regulations
  • Ability to adapt quickly to changing priorities and maintain composure in high-pressure situations
  • Able to communicate well and build rapport quickly with students, faculty and staff.
  • Physical: Sits for prolonged periods. Communicate effectively. Manual dexterity.
