The Chaseburg Production and Scheduling Coordinator is responsible for providing clerical and administrative support to the management and staff at the Chaseburg Creamery, while also providing excellent customer service and support to internal and external customers/services for the Creamery. This role collaborates with multiple different departments and personnel both within and outside of CROPP. This role is a safety sensitive role.

  • Modify/Update butter shipment STO's (Stock Transfer Orders) within SAP as needed and carry out the movement product to and from both CROPP owned, and third-party warehouses/facilities.
  • Daily receipt/issuing for Chaseburg's fluid and butter production within SAP.
  • Assist with loading/unloading of butter shuttle transfers and any material deliveries.
  • Retrieve scale tickets from scale house (bulk fluid shipments/buttermilk disposal) and enter weights into the appropriate spreadsheets/applications.
  • Issue out disposed buttermilk bi-weekly to keep inventory up to date.
  • Receive incoming cream tanker/tote shipments into SAP and maintain any physical records in an orderly fashion.
  • Verify the completion and accuracy of the fluid operators shipping/receiving entries.
  • Verify completion of load records within the Dairy Collection app and communicate out/assist operators with the receiving of any non-received loads as needed.
  • Work within Ignition application to cross-reference real-time fluid tracking against SAP's Bill of Materials (BOM).
  • Perform fluid inventory balances to confirm that it matches plant actuals.
  • Communicate with accounting and inventory teams as well as various outside vendors when a purchase order is entered to ensure production supplies arrive when requested.
  • Maintain organized records according to the legal standards of the dairy and production industries, as well as meet the Global Food Safety Standards as reviewed by internal and external auditors.
  • Work with OV Federal Milk Marketing Department for balancing end of month dairy inventory and printing out end of month form for operators to complete and return for your record.
  • Assist with the scheduling of any tote transfers into Chaseburg, and upon arrival assist QA as needed with documentation discrepancies.
  • Manage tote documentation (BOL's, COA's, tags/stickers, etc.).
  • Issue out inbound cream appropriately and accurately based on whether it's being used in butter or for outbound shipments.
  • Manage inventories for ingredient salt, lactic acid and cultures and re-order/set up transfers as needed. Keep in contact with Packaging and Purchasing personnel.
  • Perform all verifications on the Creamery's Receiving/Shipping Log and communicate out any issues/concerns to the appropriate staff members/supervisors.
  • Set up transfers for the returning of any empty reusable cream totes.
  • Maintain ongoing/strong communications with other departments within the business.
  • Place food/beverage orders for the employee breakroom and update/maintain meal signage/sign-out sheets. Completed meal sign-out sheets are sent to HQ Café on a weekly basis.
  • Keep the cooler/breakroom/fridges/freezers organized and stocked.
  • Order and stock office supplies (paper, pens, markers, etc.).
  • Experience with SAP, or similar computerized software, preferred.
  • Associate's degree or equivalent relatable work experience preferred.
  • Strong computer proficiency, specifically in Microsoft Excel, Word, and Outlook.
  • Demonstrated experience in entering data with a high level of accuracy.
  • Ability to problem solve and troubleshoot both individually and as part of a group.
  • Verbal and written communication skills; ability to follow instructions and to clearly express ideas in a concise and professional manner.
  • Strong organizational skills.
  • Excellent customer service skills.
  • Ability to multitask and prioritize in a busy work environment.
  • Basic accounting skills preferred.
