About The Position

The Senior Payroll & Tax Analyst will play a critical role in ensuring accurate, compliant, and efficient payroll and tax operations across multiple states. This position will handle end-to-end payroll processing, reconciliations, tax filings, and reporting while supporting finance and accounting functions. You will serve as a key resource for payroll administration, address complex tax issues, and provide guidance on payroll system processes. The role requires collaboration with internal stakeholders, adherence to regulatory requirements, and contribution to process improvements. Operating in a virtual environment, you will also have opportunities to mentor team members and back up senior leadership as needed, providing both strategic and hands-on support.

Requirements

  • 7+ years of progressive payroll administration experience in Workday as primary payroll system
  • 7+ years of experience managing tax notices and multi-state registrations, including PA, Ohio, Kentucky LST taxes
  • Minimum 3 years supporting finance and accounting functions with month-end close and reconciliation queries
  • Experience with ticketing systems (e.g., Fresh Service, Zendesk)
  • Strong analytical, organizational, and problem-solving skills with high attention to detail
  • Excellent communication and interpersonal skills, with ability to collaborate across all levels
  • Proficiency in Microsoft Office, particularly Excel
  • Ability to work Eastern time zone hours and occasional overtime on payroll days
  • Bachelor’s degree or equivalent experience strongly preferred
  • Ability to handle sensitive and confidential information with discretion

Responsibilities

  • Process multi-state payroll end-to-end accurately and efficiently using Workday and OSV
  • Reconcile payroll periods and calculate pro-rated wages, deductions, and terminations
  • Ensure compliance with federal, state, and local tax regulations, including tax withholdings and reciprocity
  • Handle payroll-related tax notices, registrations, and amendments independently
  • Maintain payroll systems, records, and documentation in alignment with SOX and other regulatory requirements
  • Partner with finance and accounting during month-end close, reconciliations, and audits
  • Support equity and ESPP payroll processing, W-2 inquiries, and employee tax filings
  • Train team members on tax-related topics and serve as backup to Payroll Director when needed
