Position at The Pasha Group Information for California residents about our collection and use of job applicant personal information can be found here: Privacy Practices Job Summary The Senior Payroll Coordinator is responsible for execution, issue resolution, and subject matter expertise of all elements of multi-state, multi-union, complex payroll processing and reporting for multiple employer entities with varying pay frequencies. Primary Objectives Timely execution and validation of full-cycle payroll processing including data entry, auditing, and distribution as assigned. Accurate interpretation and application of payroll tax laws, collective bargaining agreements, and corporate policies. Preparation and completion of reporting, administrative processes, and data reconciliation and participation in quality and process improvement initiatives. Effective resolution of escalated issues, client support, and communication.

Requirements

  • High School Diploma or equivalent (HSED) required
  • 3+ recent years of payroll processing experience in a multi-state and/or union environment required
  • Strong understanding of payroll processing concepts and procedures, including both formal and self-audit practices.
  • Demonstrated understanding of federal and state wage and tax calculation requirements, wage attachment processing and reporting requirements.
  • Proven ability to work independently, manage priorities and time-sensitive deliverables, and identify and escalate problems appropriately.
  • Advanced proficiency in use of payroll processing and timekeeping software, including reporting functionality.
  • Strong quantitative and analytical thinking skills; ability to trace and reconstruct transactions to resolve issues.
  • Strong verbal and written communication skills.
  • Demonstrated ability to manage and maintain confidentiality of sensitive data.
  • Demonstrated proficiency with Microsoft Office products at the following levels: ? Excel: Advanced level of skill ? Word, Outlook: Intermediate level of skill

Nice To Haves

  • Associate degree in Business, Finance or Accounting or related college-level coursework preferred
  • Certified Payroll Professional (CPP) or equivalent certification preferred
  • Experience processing union and multi-state payrolls preferred
  • Experience with audits and analytics preferred
  • Experience using UKG/UltiPro and/or ADP Workforce Now HR/Payroll system, and Kronos Workforce Ready Time and Attendance systems strongly preferred

Responsibilities

  • Independently perform full-cycle processing, data entry, validation, reconciliation, and auditing for all assigned payrolls using an integrated HRIS/Payroll system.
  • Enter, validate, and process employee time and attendance records.
  • Process authorized data changes timely and accurately with required supporting documentation.
  • Confirm transactions conform to company policies, collective bargaining agreements, and applicable statutes and regulations.
  • Conduct routine and complex audits to verify tax calculations, wage processing, benefit limits, and tax-related reporting results are processing correctly; compare results to expected outcomes.
  • Monitor and validate accrual records for paid time benefits.
  • Prepare, reconcile, and distribute data reports using payroll and timekeeping system reporting tools.
  • Maintain accurate and current electronic and physical files.
  • Provide reporting, metrics, analysis, and research to management as needed.
  • Coordinate and ensure compliance with wage garnishment orders.
  • Process and reconcile invoices and related payment requests, including benefit trust, retirement plans and union dues reporting and remittance, as assigned.
  • Communicate with and support employees and managers using corporate systems for timesheet submission, time reporting, access to wage and tax statements, and portal registration.
  • Respond to routine, complex, and escalated employee and manager requests, inquiries, and correspondence.
  • Provide written and verbal instructions and training to employees and departmental staff regarding the use of payroll-related systems including entry of timesheets, online access of pay statements, and payroll self-service features.
  • Promptly respond to incoming phone calls, email messages, and inquiries from employees and vendors.
  • Support departmental service level commitments to all employees.
  • Review and recommend process and control improvements to produce efficient processing, excellent outcomes, and audit-ready documentation.
  • Create, test, and maintain work instructions for key processing and reporting responsibilities as necessary to conform to Quality System requirements.
  • Lead special projects, audits, and data requests as assigned.
  • Other duties as assigned.
