Job Description: We are seeking a detail-oriented and proactive Senior Operations Specialist to join our dynamic team. The successful candidate will be responsible for supporting various operational functions, interacting with internal and external customers, and collaborating with multiple teams across the organization.

Requirements

  • Strong organizational and multitasking skills
  • Ability to work flexible hours, including after hours and weekends
  • Willingness to travel quarterly
  • Excellent communication skills
  • Experience with fleet management software, logistics tools, and data analysis.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Nice To Haves

  • Some experience with fleet maintenance preferred

Responsibilities

  • Provide confidential administrative support to leadership, perform general clerical duties, and collect and prepare information for various operational reports.
  • Accurately enter and process invoices, verify billing data, and reconcile monthly invoices to ensure financial accuracy.
  • Schedule and coordinate fleet maintenance activities, including routine service, inspections, and repairs for company vehicles with dealerships, repair shops, and parts vendors.
  • Monitor vehicle maintenance logs to ensure timely completion of preventive maintenance and escalate urgent issues as necessary.
  • Serve as the first point of contact for customer inquiries via phone, email, and in-person interactions; resolve basic issues and route complex matters to the appropriate staff members.
  • Maintain accurate operational records and actively contribute to process improvement initiatives.
  • Support various operational tasks as needed.
