About The Position

SWCA Environmental Consultants is seeking a dynamic Senior Operations Administrator to support our Nevada and Arizona offices. The Senior Operations Administrator will oversee administrative and logistics staff and operations for our Flagstaff, Tucson, Phoenix, Reno, and Las Vegas offices. Success in this role requires strong people management, relationship building, process improvement, time management, and customer service skills. Reporting to the Senior Administrative Manager of the West Region, you will directly manage administrative staff and indirectly support over 200 field and office employees in areas such as safety, logistics, employee support, property and equipment management, expense reconciliation, and vendor management. Our offices offer a unique culture and work environment, with teams specializing in federal permitting and compliance. We serve the generation, transmission, mining, land development, and renewable energy industries, providing services such as environmental permitting and compliance, environmental planning, air and water quality, cultural and water resources, plant and bat surveys, tribal consultation, ethnohistory, NAGPRA, archaeology, public interpretation, wildlife corridor studies, and Airport Wildlife Hazard Assessments. This is a regular, full-time, salaried position with in-office or hybrid options. The ideal candidate will live within commuting distance of one of our Southwest offices (Las Vegas or Reno, Nevada or Flagstaff, Tucson or Phoenix, Arizona). Requirements

  • Minimum of four years of progressively responsible experience
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
  • Strong, service-oriented people skills.
  • Demonstrated independent decision-making and business judgment.
  • Excellent written and verbal communication skills.
  • Ability to work independently and proactively, solve problems, and collaborate as part of a team.
  • Experience managing an administrative team of 5 or more across several locations.

Nice To Haves

  • Minimum of seven years of progressively responsible experience.
  • Bachelor’s degree
  • Prior executive administrative support to Vice President or upper management

Responsibilities

  • Close collaboration with the Southwest Subregion Vice President and Senior Office Directors.
  • Lead and optimize administrative functions, identifying and implementing process efficiencies.
  • Provide high-level administrative and operational support to the Vice President of the Southwest Region, assisting with special projects, communications, and regional initiatives as needed.
  • Oversee financial reconciliation, budgeting, forecasting, cost control, and billing operations.
  • Partner with Talent Acquisition and Human Resources on workforce planning, recruitment, and staff mentorship.
  • Manage procurement, office administration, equipment, IT resources, maintenance, security, and vendor relationships.
  • Organize and support event and meeting planning, including logistics and materials.
  • Administer employee lifecycle activities and serve as HR liaison.
  • Coordinate recruitment, candidate selection, and hiring of local administrative staff.
  • Oversee travel, lodging, equipment logistics, and vehicle maintenance; drive process improvements.
  • Lead vendor management and contract negotiations to ensure cost-effective operations and compliance.
  • Champion office and field safety programs, including audits, emergency response, and injury prevention.
  • Support sustainability and community engagement initiatives, including reporting and volunteer events.
  • Ensure compliance with all applicable regulations and standards.
  • Perform related duties as assigned.
