Position Profile The Senior On‑Site Service Specialist provides operational support across multiple service areas, including high‑volume duplicating and production printing, mail services, shipping and receiving, and bindery functions. This role may also support reception, hospitality, file services, meeting setups, quality control, and light building services. Due to the higher level of customer interaction, presentation, and telephone skills required—particularly when performing temporary or occasional receptionist duties—this position is classified as Senior level. The role reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager , depending on site structure. Job Duties and Responsibilities Operate high‑volume and production copy machines; perform binding and finishing work. Ensure convenience copiers are operating properly through daily inspections; clear paper jams and report issues to technicians. Perform basic equipment troubleshooting and escalate service calls as needed. Set up equipment per customer requirements, including adding toner and stocking paper. Perform scanning and imaging of documents. Provide temporary or occasional reception services as required. Maintain records for management reports and supply inventories. Distribute mail, fax transmissions, and office supplies to designated locations. Calculate charges for completed jobs, maintain logs, and generate reports as required. Respond to and coordinate customer service requests. Perform filing duties based on customer requests, including document purging and archiving. Deliver completed jobs to designated customer locations, both on‑site and off‑site. Maintain daily meter readings and service logs. Travel between customer buildings as required. Answer customer inquiries regarding job status and feasibility. Ensure copier areas are neat, organized, and adequately stocked. Perform shipping and receiving duties. Assist with meeting room and conference room setups. Support building occupant moves within assigned facilities. Perform light maintenance and cleaning duties as assigned. Occasionally support mailroom dock work (shipping and receiving). Work evenings, weekends, or off‑hours as required for overtime or emergency response. Operate bindery and finishing equipment, including shrink‑wrap machines, paper cutters, hole drills, joggers, tape machines, stackers, staplers, and scales. Use copier equipment, postage meters, fax machines, PCs, and calculators. Capture required data for Ricoh MOR, SPG, and job logs. Maintain working knowledge of Ricoh’s services portfolio and technologies. Perform other duties as assigned.
