About The Position

A Senior Office Coordinator (Senior OC) is responsible for clearly communicating, implementing, and supporting Trilogy office operations. The Senior OC has proven proficiency of the Office Coordinator (OC) role and consistently demonstrates a One TRILOGY mindset. The Senior OC is regarded as a resource to other OC's and continually strives to improve efficiencies.

Requirements

  • Proven ability to lead by example.
  • Demonstrated skill in balancing multiple tasks and priorities, above and beyond what is expected of an OC.
  • Recognition as a subject matter expert in areas of operational workflow.
  • Exceptional interpersonal skills among the Trilogy workforce.
  • 3-7 years of equivalent experience.
  • Clear and effective communication skills.

Responsibilities

  • Oversee the day-to-day activities of the branch as the main point of contact by greeting guests, answering general phone calls, and supporting advisors.
  • Act as a liaison between the advisor teams and various departments, particularly the Service Center.
  • Perform administrative tasks as needed, such as scheduling appointments, processing paperwork, mailing, shipping, updating databases and funding.
  • Perform clerical functions related to processing transfers and funding accounts.
  • Call custodians to follow up on paperwork for transfers in a timely manner.
  • Ability to correspond with clients about the status of transfers and other funding process.
  • Inform and implement company's policies.
  • Ensure all employees are following current policies and procedures.
  • Responsible for maintaining preparedness for regulatory audits and information requests.
  • Maintaining office supplies and equipment as needed.
  • Modeling a positive, solutions-oriented, and collaborative spirit, not only within the office but throughout the firm, regardless of the situation.
  • Maintaining Books and Records.
  • Ensuring confidentiality of all sensitive information.
  • Ensuring communication between advisors and support teams is of the highest respect, emphasizing personal responsibility and the common goal of progress.
  • Providing creative problem solving to go above and beyond the basic franchise framework of the branch, as well as working with advisors, associates, and representatives to meet and exceed Trilogy's commitments to its clients.
  • Initial Training of new OC's in the basic processes, systems and tasks required to perform the OC role.
  • Coordinating, Supervising and Reviewing the completion of Tasks in the OC Task List within Practifi.
  • With the assistance of Leadership, developing the Agenda for the Weekly OC Meeting.
  • Coordinating task coverage in branch locations without an OC.
  • Assisting Leadership and OC's in responding to Branch Audits.
  • Other duties as assigned.
