About The Position

The Senior Office Assistant at the University of Minnesota Duluth is responsible for providing comprehensive administrative support to the Tribal Training and Certification Partnership (TTCP). This role involves managing business operations, coordinating training events, assisting with travel arrangements, and ensuring excellent customer service for staff and participants. The position requires strong organizational skills and the ability to collaborate effectively with various stakeholders.

Requirements

  • High School Diploma/GED and two years of related office and administrative experience
  • General office skills at the intermediate level
  • Computer experience is required

Responsibilities

  • Assist with University Purchasing Card reconciliation for staff
  • Organize lodging arrangements for trainers, staff, and occasionally speakers
  • Assist with event planning; booking event space, room blocks, ordering food, etc.
  • Help staff and trainers with travel reimbursements through the U of M system, Chrome River
  • Assist with processing invoices from suppliers/contractors
  • Direct contracts to the correct parties for execution
  • Coordinate and monitor a calendar for use of the TTCP training space
  • Prepare Space Use Agreements when necessary
  • Communicate and collaborate with internal and external partners
  • Order office supplies for the DTV Suite and various training needs
  • Ensure TTCP spaces are prepped for upcoming trainings or meetings
  • Deliver supplies or content to staff as needed
  • Assist Community Trainers with travel and food needs
  • Provide excellent customer service to TTCP guests
  • Field calls and emails from partners, public, and participants
  • Assist with media creation for events including Powerpoints, Canva, and Social Media content
  • Participate in TTCP staff meetings to promote new ideas and improvements
