About The Position

The Senior Medical Assistant – Surgery & Patient Coordination provides advanced administrative and clinical support for an REI surgeon. This role requires strong organizational skills, independent judgment, and experience supporting a busy surgical practice. The Specialist ensures patients receive exceptional, patient-centered communication while coordinating logistics related to surgical planning, imaging, records management, chart preparation, and patient documentation.

Requirements

  • Experience as a Medical Assistant, Surgical Coordinator, or similar role supporting a surgeon.
  • Exceptional organizational skills and ability to manage multiple tasks.
  • Strong communication skills with a patient-centered approach.
  • EMR proficiency and familiarity with medical workflows.
  • Ability to anticipate needs and work independently in a fast-paced environment.
  • Ability to travel to our Boston office 1-2 days per week.

Responsibilities

  • Efficiently schedule new patient visits, pre-op appointments and post op visits while maintain accurate timeliness and supporting smooth patient flow.
  • Patient Communication & Support: Serve as the primary contact for patients preparing for surgical care, providing clear and compassionate guidance and communicating next steps and appointment preparation.
  • Advanced Surgical Coordination: Coordinate directly with the hospital surgical scheduling team to prepare for patient’s upcoming procedure, including scheduling, registration and any preoperative needs.
  • Chart Preparation & Clinical Readiness: Prepare and audit charts ahead of appointments; ensure all imaging, labs, records, and authorizations are complete and uploaded.
  • Medical Records & Imaging Management: Request and obtain MRIs and diagnostic studies; review and upload records; coordinate with outside offices for missing documentation.
  • Administrative Expertise: Complete FMLA, disability, and employer forms; maintain accurate EMR documentation; support prior authorizations and insurance needs.
  • Cross-Functional Collaboration: Work with nurses, NPs, front-desk, and billing teams to ensure seamless patient care and effective communication.
