About The Position

As Senior Marketing Coordinator at Ware Malcomb, you will be a trusted project owner who leads complex marketing initiatives and pursuits. You will serve as the primary marketing contact for assigned offices, regions, or practice groups. Responsibilities include managing pursuits end-to-end, advising technical and leadership teams, overseeing regional marketing initiatives, producing high-quality collateral and content, coordinating industry events, and ensuring brand consistency across communication channels. As part of the Corporate Marketing Team, you will collaborate closely with firmwide colleagues while independently driving marketing efforts for your designated area.

Requirements

  • Minimum of 5 years of marketing experience in the AEC or professional services industries.
  • Bachelor’s Degree in Business, Marketing, Communications, or related field of study.
  • Expertise with Adobe InDesign and Microsoft Office software programs.
  • Strong experience with proposal/technical writing and pursuit strategy.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong project ownership mentality; proactive and resourceful.
  • Ability to work independently with limited supervision while mentoring others.
  • Thrives in a fast-paced, deadline-driven environment.
  • Positive, collaborative, and professional demeanor.
  • Strong ability to coach team members and deliver constructive feedback.
  • Strategic mindset with the ability to understand and drive the firm’s goals.

Nice To Haves

  • Familiarity with Deltek Vantagepoint and HubSpot CRM a plus.

Responsibilities

  • Lead the strategy, development, and execution of RFPs, RFQs, and client presentations.
  • Oversee interview preparation, ensuring teams are well-prepared and aligned.
  • Review work from Marketing Coordinators and Associates, providing direction and quality control.
  • Conduct client, competitor, and market research to inform pursuits and campaigns.
  • Serve as the primary marketing liaison for designated office(s) or practice group(s).
  • Partner with local leaders to enhance market visibility through PR, media, sponsorships, and events.
  • Hold regular touchpoints with local teams to align initiatives with firmwide goals.
  • Oversee coordination of professional project photography and visual assets.
  • Oversee development of customized brochures, case studies, and other client-facing materials.
  • Create high-quality written content including project descriptions, blog posts, social media posts and award/ranking submissions.
  • Maintain and improve the marketing materials library (photography, project sheets, digital collateral).
  • Identify opportunities to streamline marketing processes and implement improvements.
  • Provide mentorship, training, and feedback to junior marketing staff and interns.
  • May include people management of junior staff
  • Update and maintain firm website and intranet content.
  • Support national conference planning and business development activities.
