This position supports both the Marketing and Finance & Accounting departments by fulfilling a variety of accounting tasks. This position is responsible for daily file maintenance, bill reconciliations, and data entry while performing other supportive tasks for various departments within NOVA Home Loans.

  • Process and forward vendor invoices, statements, and receipts to Accounts Payable, via email or accounting software.
  • Distribute payment links to Real Estate agents for co-branded marketing orders.
  • Respond to inquiries from branches, departments, and vendors regarding invoices or accounting matters via phone and email.
  • Track and document service requests using a ticketing system.
  • Follow up with employees on missing receipts and ensure timely resolution.
  • Request and submit W-9 forms from vendors to Accounts Payable as needed.
  • Support Marketing and Finance & Accounting teams with assigned tasks and projects.
  • Place vendor orders and create Purchase Orders, ensuring all related receipts are collected and managed.
  • Perform other duties as required.
  • Proficient in clerical tasks, office processes, and the use of automated systems.
  • Understanding of standard accounting principles and practices.
  • Capable of performing calculations efficiently and accurately.
  • Skilled in handling multiple tasks simultaneously.
  • Competent in using MS Office Suite, including Excel, Outlook, and Word.
  • Able to work both independently and collaboratively within a team.
  • High School Diploma or GED is required.
  • One (1) to three (3) years’ experience within the mortgage industry is preferred.
  • One (1) to three (3) years’ experience as a bookkeeper or Accountant is preferred.
