The Senior Manager, Workplace Experience & Executive Support anchors PRR’s evolving Workplace Experience & Operations function and plays a key role in how our leaders, teams, and clients experience our workplace during this next era of growth and change. This role blends operational leadership, project management, vendor oversight, and high-level executive support—driving the initiatives and systems that keep the agency running smoothly while freeing executives to focus on vision, client relationships, and transformation. The ideal candidate is both strategic and hands-on: someone who can lead a complex office relocation from planning through move-in, negotiate and manage vendor contracts, streamline operational processes, and anticipate executive needs with discretion and precision.

  • Play a key role in PRR’s upcoming Seattle office relocation, overseeing site selection logistics, coordinating vendor negotiations, tracking budgets, and managing the move from planning through completion.
  • Serve as the primary liaison between leadership, brokers, and external partners throughout the relocation process.
  • Develop project plans, timelines, and communication frameworks to ensure milestones are met and transitions are seamless.
  • Oversee special projects such as system or vendor transitions, workspace upgrades, or operational audits that support PRR’s transformation.
  • Oversee facilities operations and the front-of-house team to ensure a seamless, values-aligned workplace experience for employees and guests.
  • Manage vendor relationships across facilities, IT, and office services—negotiating contracts, reviewing performance, and ensuring cost-effective, high-quality outcomes.
  • Implement and continuously improve processes and workflows that enhance operational efficiency, employee experience, and information flow across teams.
  • Partner with internal stakeholders to ensure compliance with safety, accessibility, and environmental standards.
  • Provide high-level administrative and operational support to executive leaders, including complex scheduling, travel coordination, meeting preparation, and confidential communications.
  • Draft and edit executive correspondence, presentations, and materials for board meetings, leadership sessions, and client engagements.
  • Anticipate executive needs and proactively manage priorities, ensuring timely follow-up and alignment on critical initiatives.
  • Coordinate logistics for executive meetings and offsites, including agenda planning and on-site execution.
  • Support executives with time-sensitive initiatives and certification or compliance processes, coordinating logistics, documentation, and communication across internal and external partners.
  • Mentor and guide administrative professionals, modeling service excellence, accountability, and operational discipline.
  • Partner with the Chief People Officer to shape and expand the Workplace Experience & Operations team, ensuring alignment with PRR’s future growth.
  • Lead onboarding, training, and performance development of administrative and operations team members.
  • Proven success leading large-scale operational projects (e.g., office relocations, vendor transitions).
  • 15+ years of experience in executive support, office management, or operations; agency or mission-driven organization experience preferred.
  • Experience managing sensitive executive-level projects with high discretion and impact.
  • Experience supervising or mentoring administrative staff.
  • Demonstrated success supporting multiple executives in a dynamic environment.
  • Strong organizational and project management skills with the ability to balance competing priorities and tight deadlines.
  • Exceptional written and verbal communication skills, with proven experience drafting and editing executive-level communications.
  • Proficiency with Google Workspace, Microsoft Office, and project management tools (e.g., Asana, Monday.com).
  • High emotional intelligence, discretion, and ability to build trust with senior leaders.
