About The Position

The Sr. Manager, Program Operations, is a critical contributor across the Scientific and Medical Affairs (SMA) department and is responsible for a broad range of duties across PanCAN’s SMA programs related to planning, implementation, program and project management, and reporting. This role works closely with SMA leadership to ensure successful execution and monitoring of PanCAN’s most critical projects, partnerships, and sponsorships. The Senior Manager serves as the internal liaison for SMA and works cross-functionally to coordinate and execute projects, ensuring understanding and alignment across critical teams such as Patient Services, Development, Business Development, Marketing, Health Data, and Grants. This role provides program and project management support for activities related to grants administration, strategic partnerships, health data, and other PanCAN programs and serves as the lynchpin across SMA for tracking / reporting metrics and annual strategic planning.

Requirements

  • Bachelor's Degree (BA/BS) from a 4-year accredited university in a related field or equivalent combination of education, training and experience that provides the required knowledge, skills, and abilities required.
  • Preferred years of experience are 5+ years of relevant program management experience in scientific or medical field / industry
  • Advance proficiency in Microsoft suite (Word, Excel, PowerPoint, and Outlook)
  • Strong writing and communication skills
  • Must be able to work independently, have excellent interpersonal and relationship-building skills, and work productively and successfully in a team
  • Ability to prioritize tasks, think clearly under pressure, meet tight deadlines, and thrive with minimal supervision in a fast-paced, growing environment
  • Carry out all responsibilities in an honest, ethical, and professional manner

Nice To Haves

  • Experience and understanding of academic organizational structures a plus
  • Experience working for a philanthropy and/or non-profit organization preferred
  • Fluency of experience in ProposalCentral or other e-grant management systems highly desired
  • Experience with financial software, such as Vena, and Salesforce CRM preferred
  • Experience with Altum Dimensions research database and NIH RePORTER highly desired

Responsibilities

  • Collaborate with SMA leadership to ideate, prioritize, and implement departmental strategies
  • Facilitate and coordinate the development of SMA’s annual strategic plan and budget
  • Support coordination of PanCAN’s annual Scientific Summit
  • Provide administrative assistance to the Chief Scientific and Medical Officer and the Chief Business Officer; may also support other Scientific Medical Affairs leadership as needed
  • Develop and maintain a consistent and effective meeting management process structure and appropriate cadence (e.g., leadership team, extended leadership team, all hands, governance/sponsor meetings and operations/business reviews)
  • Facilitate communication of pertinent updates and organizational-wide policies/procedures
  • Track and report on key metrics of the pancreatic cancer field, including federal funding for research, clinical trials, patient outcomes, and the research community
  • Coordinate and facilitate outreach to PanCAN’s research community for key meetings, communications, and project management as needed
  • Coordinate, track and report on PanCAN SMA metrics associated with all PanCAN programs for internal and external use
  • Project manage Grants and associated research activities including coordinating receipt of grantee deliverables and disbursement of grant funds, and tracking grantee progress, financial and milestones reports and new grantee paperwork
  • Create, maintain and execute Grants program policies, Standard Operating Procedures (SOPs), and tracking systems including owning oversight of Grant tracking portal (Proposal Central) and SharePoint site for document management
  • Coordinate negotiation and execution of grant agreements across internal stakeholders, legal counsel and research institutions
  • Manage internal coordination on Grants information sharing and operations with Finance, Development, Community Engagement and Marketing
  • Manage day-to-day tasks related to pre- and post-award grant-cycle administration
  • Maintain calendar for critical activities for business development, sponsorship, or partnership opportunities; track and report on key activities, deliverables, and pipeline opportunities
  • Organize and facilitate team meetings with external stakeholders as needed
  • Track and follow-up on action items associated with key partnerships as required
  • Facilitate the receipt, review, approval, and execution of Data Use Agreements (DUA) for PanCAN data sharing
  • Actively track and report on status of DUAs and PanCAN data collaborations
