Qualifications POSITION SUMMARY The Senior Manager – Medical Record Projects is responsible for overseeing the receipt, tracking, scanning, and secure management of Medical and Dental Records for Total Force Members who have separated or retired. This role provides strategic and operational oversight for both Army and Air Force Medical Records projects, ensuring full compliance with contractual requirements, performance standards, and security protocols. The Senior Manager leads day-to-day operations of multiple government contracts, supervises assigned personnel, manages financial and reporting obligations, and serves as a key liaison between internal stakeholders and government partners. This position supports the organization’s mission to help change lives through the power of work while ensuring high-quality, compliant service delivery.

Requirements

  • Supervisory and management experience required.
  • Seven (7) or more years of experience performing similar or progressively responsible work.
  • Demonstrated experience supervising medium to large teams across multiple projects or locations.
  • Strong financial acumen, including experience with invoicing, cost controls, and audit readiness.
  • Proficiency in Microsoft Excel, Word, and Access; experience with data tracking, reporting, and process documentation.
  • Strong verbal and written communication skills, with the ability to communicate effectively with government partners, leadership, and team members.
  • Demonstrated ability to manage multiple priorities, deadlines, and compliance requirements in a regulated environment.
  • Ability to meet the physical requirements of the position.
  • For positions requiring driving: must maintain a valid driver’s license, automobile insurance, and the ability to travel as needed during company business.

Nice To Haves

  • Experience managing government or military records contracts is highly desirable; experience with Army and/or Air Force records projects is strongly preferred.
  • Bachelor’s degree (4-year degree) in Business, Public Administration, Management, or a related field is desirable.
  • Equivalent combination of education, experience, and/or military training will be considered.

Responsibilities

  • Provide overall projects leadership and operational oversight for Army and Air Force Medical Records contracts, ensuring contract performance, compliance, and service-level requirements are met or exceeded.
  • Review contract modifications; develop and refine business models, workflows, and operational processes; and prepare or review costing and pricing packages.
  • Oversee hiring activities by reviewing required documentation related to applicant availability, hiring status, onboarding, and compliance with contract and organizational requirements.
  • Maintain comprehensive and accurate contract and office files, including correspondence, work instructions, organizational charts, and standard operating procedures.
  • Ensure timely and accurate completion of monthly invoicing, including government billing and reimbursement, in accordance with contract terms.
  • Oversee time and attendance reporting, ensuring team member punches and paid time off are accurately recorded and approved in the timekeeping system.
  • Manage and monitor government-furnished equipment and property inventories in accordance with Statements of Work and audit requirements.
  • Coordinate with facilities management and contractors regarding renovations, emergency repairs, safety concerns, and general facility operations.
  • Review and ensure compliance with intake and onboarding procedures, including in-processing checklists, emergency contact information, and required documentation.
  • Prepare and deliver daily, weekly, monthly, quarterly, and annual operational, performance, and financial reports as required by leadership and contract terms.
  • Support continuous improvement by developing and maintaining professional skills through required training and development opportunities.
  • Promote and enforce occupational safety procedures and serve as an awareness ambassador for Risk Management initiatives.
  • Review financial reports monthly to ensure billing accuracy, cost controls, and proper allocation of expenses, minimizing audit findings and compliance risks.
  • Conduct timely and high-quality performance evaluations for direct reports and ensure completion of appraisals across assigned work units.
  • Partner with Human Resources to administer employee relations actions, including recognition, promotions, transfers, corrective action, and terminations in accordance with policy and applicable laws.
  • Ensure adherence to loss prevention, inventory control, compliance, risk management, and ethics policies.
  • Safeguard all organizational and government property and resources and promptly investigate or participate in investigations related to incidents or losses.
  • Foster positive employee relations by maintaining harmonious working relationships, promptly addressing team member concerns, and ensuring issues are resolved appropriately and consistently.
