About The Position

The Workplace Service Manager will serve as the operational engine of the workplace - ensuring that the physical environment is safe, efficient, responsive, and optimized to meet the evolving needs of a hybrid, people-centered workforce. The WSM owns the systems, vendors, and standards that make every employee experience frictionless, and every square foot high-performing.

Requirements

  • A highly organized, detail-oriented leader with a bias for action.
  • Experienced in managing multi-site facilities, vendor operations, and workplace service delivery.
  • A reliable on-site presence and problem-solver for all things related to the physical workplace.
  • Skilled in vendor performance management, SLA tracking, and preventive maintenance.
  • Data-driven, using occupancy analytics to inform space planning and hybrid work strategies.
  • Technically adept with a solid understanding of IT infrastructure, AV systems, and booking platforms (e.g., Robin, Jira).
  • Knowledgeable in safety regulations and accessibility compliance; confident in leading emergency response efforts.
  • A collaborative team player who works cross-functionally with IT, People, Legal, and Real Estate teams.
  • A strong communicator and mentor, capable of scaling programs and developing high-performing workplace teams.

Responsibilities

  • Lead and mentor a team of Office Coordinators; help scale the FREO function.
  • Oversee daily performance of vendors (janitorial, HVAC, security, pantry/barista, and general services).
  • Monitor and manage ticketing systems (e.g., Jira); ensure service-level agreements (SLAs) are met.
  • Conduct daily site walkthroughs to maintain workplace standards.
  • Partner with IT, People, Legal, and other teams to deliver an outstanding employee experience.
  • Manage desk and room booking platforms; resolve technical issues promptly.
  • Collaborate with IT to ensure Wi-Fi and AV infrastructure are functional and current.
  • Coordinate IT upgrades and manage communication around system outages.
  • Track and analyze space utilization and occupancy trends.
  • Recommend space planning changes based on headcount growth, hybrid usage, or departmental shifts.
  • Support employee moves, adds, and changes (MACs).
  • Assist the Director of Real Estate & Facilities with leasing transactions and lease administration.
  • Ensure compliance with safety, accessibility, and regulatory standards.
  • Lead emergency preparedness efforts and conduct regular safety drills.
