About The Position

The Senior Maintenance Coordinator is responsible for overseeing and optimizing maintenance operations across the facility and its operational equipment. This role serves as a senior on-site resource responsible for coordinating maintenance activities, supporting preventative and corrective maintenance efforts, and ensuring facilities standards are consistently met. Working closely with the Facilities Manager, the Senior Maintenance Coordinator helps prioritize daily tasks, monitor work order activity, coordinate vendors, and provide guidance to maintenance staff. While the role remains hands-on as needed, the emphasis is on oversight, coordination, quality assurance, and issue escalation to ensure a clean, safe, and well-functioning workplace.

Requirements

  • High school diploma or equivalent
  • 5+ years of experience in maintenance and facilities management
  • Demonstrated experience providing work direction, oversight, or informal supervision
  • Ability to execute duties safely, efficiently, and with attention to detail
  • Experience using hand and electric tools
  • Experience performing minor carpentry, electrical, mechanical, and plumbing repairs.
  • Dedicated to delivering quality work while providing excellent customer service
  • Proven time management and prioritization skills
  • Ability to maintain a high level of professionalism in a corporate environment
  • Ability to work in a team environment and to work on individual projects with minimal supervision
  • Ability to lift 75lbs
  • Availability for occasional overtime or emergency response.
  • New York City residence is required within 180 days of hire

Responsibilities

  • Collaborate with the Facilities Manager to coordinate daily maintenance tasks, priorities, and project updates.
  • Monitor work order systems to ensure timely completion, accuracy, and proper documentation.
  • Ensure daily tasks/assignment responsibilities are completed by the facilities team in a timely manner.
  • Performs routine inspections of all systems and equipment. Maintains the equipment inventory databases.
  • Communicates directly with maintenance contractors to schedule repairs, servicing, and preventive maintenance to ensure our facilities equipment is running efficiently.
  • Lead or support facility inspections, audits, and regulatory compliance activities.
  • Clean, sweep, mop, and remove waste from all communal areas including lobbies, bathrooms, pantries, breakout areas, conference rooms, and the internal staircase. Respond to any major spills and clean accordingly.
  • Ensure cleanliness and upkeep of communal areas including lobbies, bathrooms, pantries, breakout areas, conference rooms, stairwells, wellness rooms, showers, bike rooms, and workshop areas.
  • Ensure applicable safety hazard signs are placed appropriately as required, e.g., wet paint, out of service, and wet floor warning signs.
  • Prepare all conference rooms for use ensuring they are cleaned, seating is realigned, waste is removed, and whiteboards are cleaned. Prepare the conference center rooms before and after meetings.
  • Refill supply stations with coffee, hand sanitizer, air freshener, etc., particularly for peak use periods.
  • Help order supplies required for facility maintenance and report supply levels for reordering.
  • Assist in workstation relocations including moving files and furniture as needed.
  • Complete minor repairs and building improvements.
  • Provide day-to-day guidance, support, and informal mentorship to Maintenance Coordinators and facilities staff.
  • Coordinate with building staff regarding upkeep of NYCEDC offices and floors.
  • Respond to emergency calls on weeknights or weekends, if needed.
  • Other duties as assigned
