About The Position

The Senior Legal Assistant will provide administrative, corporate governance, and operational support to a dynamic group of legal professionals based in New York. Working alongside a team dedicated to delivering expert advice to the U.S. market, the role plays a valuable part in progressing Springer Nature’s mission and protecting its businesses and reputation.

Requirements

  • Bachelor’s degree required
  • Six or more years’ previous legal or high-level professional admin experience, preferably in an international company
  • Strong organization skills and excellent time management
  • Corporate governance experience or exposure preferred
  • Corporate governance professional certification is a plus
  • Excellent attention to detail, project management, and a high level of accuracy
  • Collaborative team player
  • Strong knowledge of Microsoft Office Suite
  • Professional verbal and written communication skills with the ability to communicate at all levels of the organization
  • High level of integrity and strong professional ethics
  • Familiarity with Workiva, Freshdesk, SharePoint, iManage, and Xflow is a plus

Responsibilities

  • Provide administrative support to the U.S. legal team, including assisting with contract management, project support, and maintenance of physical and electronic files
  • Manage corporate secretarial functions for the U.S., including keeping of all corporate books and records, preparation of minutes and consents of directors and managers, preparation of officers' certificates, coordinating with outside counsel all required state filings, and assisting with KYC and other informational requests
  • Review all incoming subpoenas, complaints, and lawsuits in the U.S. and coordinate responses with appropriate members of the legal team
  • Assist attorneys with litigation-related tasks such as document production
  • Assist with the creation of intercompany agreements, including the preparation of schedules and exhibits
  • Organization of meetings and conference calls, and supporting the legal team in the preparation of related documents and presentations
  • Attend, keep minutes, and assist with the preparation of agendas for certain meetings involving major projects
  • Assist with legal research and analysis
  • Assist with management of legal team databases and document management systems, including data entry and retrieval
  • Provide administrative support for trademarks
  • Manage calendars, schedules, and contacts
  • Arrange travel itineraries including airfare and hotel accommodation, manage Visa applications, and process travel and other expenses
  • Drafting and finishing of advanced Microsoft PowerPoint presentations and Excel spreadsheets
  • Manage standard form/model legal documentation and department training, and research materials
  • General clerical duties to include, but not limited to photocopying, faxing, mailing, and filing
  • Manage departmental office supplies
