About The Position

Senior Legal Assistant We are seeking an experienced, highly proactive Senior Legal Assistant to serve as the administrative and workflow lead of our 8-person in-house legal department (5 attorneys, 3 paralegals). This role is the central administrative and workflow hub of the team — ensuring deadlines are met, documents are accurately executed, tracked, and organized, systems operate efficiently, and the department runs seamlessly. This is a senior-level role for a professional who takes ownership, manages complexity with precision, and brings structure and reliability to a fast-paced legal environment.

Requirements

  • 5+ years of experience as a Legal Assistant in a top-tier law firm and/or sophisticated in-house legal department.
  • Experience supporting General Counsel, CLO, or senior legal leadership.
  • Strong knowledge of transactional and litigation tracking, corporate governance, and contract administration.
  • Advanced experience with iManage or comparable document management systems.
  • Experience with CLM platforms and e-signature tools (DocuSign, Adobe Sign).
  • Advanced proficiency in Microsoft Office, particularly Word formatting and document comparison.
  • Exceptional organizational and deadline-management skills in high-volume environments.
  • Highly proactive with a strong sense of ownership and accountability.
  • Ability to quickly learn new systems and subject matter and retain information across multiple matters.
  • Exceptional attention to detail.
  • Calm, steady, and reliable under pressure.
  • Professional judgment and discretion in handling confidential matters.
  • Ability to work independently while collaborating effectively across teams.

Responsibilities

  • Oversee and coordinate day-to-day administrative and operational functions of the legal department.
  • Own and manage the department-wide legal calendar, including transaction deadlines, litigation deadlines, regulatory filings, board meetings, and contract renewals.
  • Maintain centralized matter tracking and coordinate with outside counsel on scheduling, filings, invoices, and matter budgets.
  • Oversee document management in iManage, including naming conventions, filing protocols, and matter organization.
  • Manage full contract lifecycle processes: intake, routing, approvals, execution, and archiving.
  • Coordinate internal and external signings, including high-volume, transaction-related closings.
  • Maintain corporate records, governance materials, entity documentation, and executed agreements.
  • Serve as liaison between Legal and internal departments (Acquisitions, Finance, HR, Operations, Risk & Insurance).
  • Manage scheduling, correspondence, invoice processing, and legal operations reporting.
  • Maintain strict confidentiality of sensitive corporate, financial, transactional and litigation matters.
