Join HCSC and be part of a purpose-driven company that will invest in your professional development. Job Summary BASIC FUNCTION HCSC is looking for a dynamic individual to join its Legal Department! Under supervision, this position will report up through the Legal Operations department and be part of a six-person administrative support team. Responsibilities include performing administrative duties (extensive calendaring, heavy travel, expense reporting, etc.) and legal support to legal teams consisting of 8-10 attorneys. This includes work of a complex and confidential nature for a Vice President or Divisional Senior Vice President in research and resolution activities; performs specialized and confidential duties which often require independent judgment; prepares routine to moderately complex documents. Additional responsibilities include supporting Legal Operations initiatives that involve technology support, work activity tracking, working with O365 tools such as Teams, SharePoint, and Excel and providing general meeting and office support. NOTE: this role sits in RICHARDSON, TX and is hybrid/flex, requiring in-office attendance three (3) days per week, working from home the other two (2) days; relocation will NOT be extended, sponsorship is NOT available ~

Requirements

  • 2 years’ of college with 2 years’ experience as a legal assistant in a law firm, corporate legal department OR 4 years’ direct experience as a legal assistant in a law firm or corporate legal department.
  • Excellent verbal, written and organizational communication skills.
  • Strong PC proficiency to include O365, Word, Excel, Outlook, PowerPoint and Teams (heavy calendaring/SharePoint) – contract agreements – regulatory/government legal team tracking
  • Ability to handle sensitive matters and maintain confidentiality.
  • Ability to work well in a demanding and fast-paced environment.

Nice To Haves

  • Notary Public and Paralegal certification from an accredited program or combination of education and experience.
  • Corporate Law experience.

Responsibilities

  • Perform administrative duties in support of legal division attorneys and paraprofessionals (extensive calendaring, heavy travel, expense reporting, etc.)
  • Coordinate flow of documents received by the Corporation to ensure prompt and correct response on behalf of HCSC.
  • Compile and assemble data from various sources and prepare regular and special reports; type forms, letters, schedules, lists, and memos; maintain office files and record systems.
  • Assist in maintaining Legal Department library, order new materials and arrange for payments to publishers.
  • Coordinate departmental requests and perform necessary administrative follow-up as directed.
  • Train and mentor new and existing Legal Assistants as needed.
  • Open and distribute mail, tracking expenditures for outside attorneys, screen calls, make travel arrangements, schedule appointments, and arrange meetings and conferences.
  • Support Legal Operations initiatives to improve processes and attorney productivity.
  • Learn and support various technology across the division.
  • Communicate and interact effectively and professionally with co-workers, management, customers, etc.
  • Comply with HIPAA, Diversity Principles, Corporate Integrity, Compliance Program policies and other applicable corporate and departmental policies.
  • Maintain complete confidentiality of company business.
  • Maintain communication with management regarding development within areas of assigned responsibilities and perform special projects as required or requested.
