The Senior Executive Assistant (EA) provides high-level administrative and operational partnership to the Executive and Senior Management Team, ensuring the seamless execution of day-to-day activities and longer-term priorities. This role requires exceptional organizational skills, sound judgment, and strong executive presence, along with the ability to manage complex schedules, competing priorities, and sensitive information with discretion. Over time, the EA will anticipate the needs of the leadership team, proactively identify opportunities to improve efficiency and execution.

Requirements

  • High school diploma required; Bachelor’s degree preferred.
  • Minimum of 8 years of experience supporting senior-level executives, including C-suite and/or VP-level leaders, preferably within the life sciences or healthcare industry.
  • Demonstrated executive presence with the ability to interact confidently and professionally with senior leaders, board members, and external stakeholders.
  • Exceptional interpersonal and communication skills, with a polished, proactive, and approachable demeanor.
  • Strong attention to detail with excellent written and verbal communication skills.
  • Proven sound judgment, discretion, and ability to handle highly sensitive and confidential information.
  • Highly proactive, with the ability to anticipate executive needs and adapt priorities in a fast-paced environment.
  • Comfortable working independently while remaining flexible and responsive to changing business demands.
  • Experience supporting executives in a fast-growing, entrepreneurial environment.
  • Advanced proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel) and experience with expense management systems (e.g., Certify).

Responsibilities

  • Serve as a primary point of contact for the Screening senior management team, liaising with internal and external stakeholders and managing correspondence, inquiries, and follow-ups.
  • Manage and prioritize incoming requests with accuracy, discretion, and a strong sense of urgency.
  • Coordinate and maintain complex, multi-executive calendars, including meetings with internal teams and external partners.
  • Arrange extensive domestic and international travel, meetings, and itineraries, often requiring real-time changes; prepare and submit associated expense reports.
  • Create, submit, and track purchase orders, ensuring alignment with approved budgets and internal processes.
  • Attend meetings, capture minutes, and ensure accurate documentation and follow-up as needed.
  • Support inter- and intra-departmental communication, including collaboration with cross-functional teams and external clients, while handling sensitive and confidential information.
  • Assist with planning and coordination of meetings, offsites, and events for the Screening Commercial team.
  • Draft, format, and proofread correspondence, presentations, and documents with minimal direction.
  • Partner closely with other Executive Assistants to ensure seamless coverage and shared success.
  • Build strong working relationships across the organization to drive efficiency and execution.
