About The Position

This role works in conjunction with the events, marketing, sales teams, and external partners to deliver exceptional internal and client-facing events. Responsibilities include logistics planning, negotiating agreements for hotels, transportation, FBO, & DMCs, relationship management with key partners, budgeting, and on-site event management for multiple assigned internal and external events. This role has added responsibility in acting as a team lead and providing day to day direction to junior associates in support of the Events Director.

Requirements

  • Bachelor’s Degree required.
  • 8-10 years of work-related experience required.
  • Experience in all (preferred) of the following:
  • Sales support role in a dynamic and growing organization
  • Multi-level Event planning for groups of 10-400 people
  • Computer and technical skills (e.g. Lotus Notes, MS Office Suite, internet html, Sitecore, Guidebook, email marketing systems, registration software, and survey tools)
  • High degree of problem solving capabilities
  • Strong project management skills
  • Ability to manage several projects simultaneously
  • Effective communication skills with multiple departments, vendors and clients, including C-level attendees and colleagues
  • Positive and assertive mindset and interpersonal communication skills to manage strong and competing priorities
  • Confident decision-maker on items within the parameters, budgets, and guidelines set forth
  • Critical thinking skills to isolate problems and opportunities and to generate recommendations for a plan forward
  • Multi-tasking at a project-management level
  • Ability to maintain a calm presence even at heightened demands and stress levels

Responsibilities

  • Serve as SME / Team Lead for junior events associates
  • Assist Director of Events with management of weekly department meetings – tracking event(s) statuses across the board, upcoming roadblocks, travel schedules, etc.
  • Serve as Events lead at Allied’s higher profile/larger events
  • Assist management in the development of training plans and provide ongoing training to staff to ensure they have necessary knowledge, and expertise to perform in their role
  • Provide ongoing constructive and positive feedback, assessing and monitoring employee performance to ensure department standards are achieved and maintained, to ensure the tasks are completed within the expected turn times while meeting quality standards
  • Assist management in overseeing department performance, efficiencies, and standards, offering suggestions and solutions for improvement, which leads to overall internal and external client satisfaction, and expense savings to Allied
  • Identify, analyze, and resolve issues as they arise. Handle confidential information in a responsible manner. Self-prioritize, assign and organize workflow with little directional supervision. Able to adapt to change and make independent decisions to assist department in exceeding service level expectations
  • Work with other departments to streamline processes for efficiency and effectiveness
  • Assist in the facilitation and completion of events department goals, while ensuring staff motivation, engagement, and continuous education
  • Serve as a role model to team and other departments. Maintain strong focus on team building initiatives and promoting positivity
  • Manage event invite and RSVP process
  • Select Food & Beverage, Entertainment, etc.
  • Provide Room Set-up arrangements, Branding/Signage & Audio Visual as needed
  • Manage Allied conference sponsorships & registrations
  • Communicate with senior sales management, Preferred Partners and Field Reps regularly and with professionalism
  • Work with creative agency to design save the dates and invites for events
  • Write invitation emails and event confirmation emails
  • Set up and compile pre & post event surveys
  • Research and determine off-site dinner/reception event venues
  • Work with Director to understand and meet corporate goals related to sponsorships and market
  • Conduct site visits as needed for larger events
  • Negotiate food/beverage minimums, dates & space
  • Review & submit contracts for approval to legal, gain Sr. Management execution
  • Attend & Network at the following Events: Governmental Affairs Conference (GAC) NAFCU CEO Conference Temenos Educational Conference AFSA Independents Conference NAF Conference NAFCU Annual Conference Defense Credit Union Council Conference (DCUC) AFSA Annual Meeting CUES CEO/Executive Team Network Auto Finance Summit CUNA Lending Conference Indianapolis 500 Client Event Allied National Sales Meeting Allied Client Networking Conference Allied Regional Sales Meetings (3)
  • Manage invoicing for event sponsorships
  • Review & process payments to vendors for events
  • Manage owned Events within budget
  • Track & forecast budget for National external & internal budgets
  • Assist in the creation and development of Allied’s Preferred Partner Sponsorship Program
  • Invoice for and track all Sponsor Revenue
  • Package and see through fulfillment of Sponsorship opportunities and commitments
