Role Overview The Senior Escrow Officer Assistant functions as an extension of the Escrow Officer; empowered to manage complex files, anticipate risk, and maintain operational excellence. You do not wait for problems to be assigned; you prevent them. Required Capability This role requires the demonstrated ability to operate at the level of a closer. The Senior Escrow Officer Assistant must understand the full escrow lifecycle, be capable of walking files to the finish line, and step in seamlessly if a closer is unavailable.

Requirements

  • 5+ years of escrow or title experience, including complex transactions
  • Strong working knowledge of Texas escrow processes
  • Advanced proficiency in Qualia or comparable title production systems
  • Proven ability to manage volume while maintaining precision
  • Professional judgment; you know when to act and when to elevate
  • Calm, confident communicator with internal and external stakeholders

Responsibilities

  • Exercise operational ownership of escrow files from open through post-closing; files move forward daily, not weekly
  • Maintain elite-level file hygiene in Qualia; files are audit-ready at all times with zero tolerance for mislabeling or gaps
  • Independently order, monitor, and resolve payoffs, HOA documentation, tax certificates, surveys, and third-party requirements
  • Review title commitments, requirements, and exception language; identify defects, discrepancies, and red flags before they become delays
  • Clear routine and moderately complex title requirements; escalate only what truly requires Escrow Officer intervention
  • Drive communication with agents, lenders, underwriters, and notaries with confidence and professionalism; you control the cadence
  • Prepare and review escrow and closing documentation with a preventative mindset; mistakes are caught upstream
  • Manage signing logistics and pre-funding readiness; closings happen on schedule and without last-minute scrambling
  • Support funding and post-closing execution, including recording coordination, final disbursements, and file completion
  • Enforce confidentiality and compliance standards without exception; paper discipline is cultural, not optional
  • Serve as a stabilizing force in high-volume periods; pressure does not lower standards
  • Mentor junior assistants when needed; leadership shows in how others perform around you
