About The Position

Quantum-Si is seeking a Senior Equipment Associate to oversee the full lifecycle of approximately 1,000 pieces of lab and facilities equipment across all sites. This role ensures that all preventive maintenance, calibrations, and service is conducted on time and documented in the company’s equipment management system. The person in this role partners with lab staff, vendors, and Facilities to maintain operational readiness and reliability of critical scientific equipment. Requirements

  • Minimum of 4-6 years of experience in Equipment management and equipment management systems
  • Experience supporting equipment across its full lifecycle including installation, preventative maintenance, troubleshoot and repairs
  • Ability to perform basic troubleshooting and triage equipment issues before escalating to vendors
  • Understanding of preventative maintenance programs, service contracts and calibration schedules
  • Experience with general lab equipment such as pipettes and weight measuring systems
  • Strong attention to detail and experience maintaining complete, audit ready documentation
  • Effective communicator with external vendors
  • Understanding of regulated lab environments
  • Experience supporting multi-site operations
  • Experience with EMS/CMMS platforms

Nice To Haves

  • Background in Agilent HPLC and Cols storage fleet management including monitoring systems
  • Knowledge of ISO/IEC 17025, ISO 9001 and OSHA preferred

Responsibilities

  • Execute or coordinate service for lab and facilities equipment, including scheduling, on‑site vendor support, and service follow‑through, both for routine maintenance and unscheduled repairs.
  • Maintain the equipment database, ensuring accurate information for make/model, utilities, serial numbers, install dates, vendor contacts, and service histories. Includes working with finance to issue new equipment numbers in the fixed asset system.
  • Own preventive maintenance tracking, ensuring all PMs, calibrations, and contract renewals occur on time.
  • Triage equipment issues submitted by lab personnel; attempt basic troubleshooting before escalating to vendors.
  • Gather operational insights and advise management on equipment selection to optimize future reliability, serviceability, and support structures.
  • Coordinate vendor quotes, renewals, and technical negotiations; submit contract changes through Facilities/Procurement for approval. Optimize spends and leverage across vendors.
  • Ensure documentation of completeness, such as service reports, compliance records, and calibration certs. Be the go-to expert at short notice on location and single source of truth for on any piece of tracked equipment.
  • Support all locations via periodic travel and remote coordination with local lab staff.
  • Provides support for other operational and facilities tasks as time permits
  • Responsible for Equipment Lifecycle Workflow
  • Provide feedback on serviceability and support requirements for new equipment.
  • Engages incoming equipment activities (delivery, install, post‑install).
  • Coordinates with utilities readiness before equipment arrives.
