About The Position

Visit Seattle is a private, non-profit destination marketing organization (DMO) serving Seattle and King County. We exist to responsibly grow the visitor economy for the benefit of the community. The Senior Coordinator provides high-level administrative, organizational, and project support to the Chief Engagement Officer and the Vice President, Destination Development. The role serves as a central coordination point for division leadership. Responsibilities include managing complex scheduling and administrative tasks/priorities, coordinating projects, facilitating interdepartmental communication, preparing presentations and materials, and supporting overall operational efficiency across the Community Development & Engagement division. Success in this role requires excellent judgment, professionalism, a high degree of discretion, polished communication skills, and the ability to manage a wide range of priorities in a fast-paced environment.

Requirements

  • 5-7 years of progressive administrative or project coordination experience, preferably supporting executives or senior leaders.
  • Professional presence, strong service orientation, and sound judgement when interacting with senior leaders, partners and stakeholders.
  • High adaptability, flexibility, and ability to shift priorities quickly.
  • Strong internal and external customer service skills with polished communication and interpersonal finesse.
  • Demonstrate ability to work independently, identify needs proactively, manage competing priorities, follow through with minimal supervision, and build credibility across teams.
  • Strong documentation and follow up skills, with the ability to track action items and ensure completion.
  • Experience managing high-volume scheduling and meeting logistics in a fast-paced environment.
  • Exceptional verbal and written communication skills.
  • Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Must be able to speak, read, write, and understand English.

  • Hospitality, tourism, or nonprofit industry experience preferred.

Responsibilities

  • Manage complex calendars, schedules, travel planning, expenses and meeting logistics for the Chief Engagement Officer and Vice President, Destination Development.
  • Prepare and compile meeting materials, including agendas, minutes, presentations, and reports, and ensure efficient coordination of internal and external commitments.
  • Manage content deadlines, pre-planning checkpoints, and alignment for board meetings, internal reviews, partner updates, and related timelines.
  • Coordinate scope of work reporting processes and serve as a project lead or coordinator with relevant partners as needed.
  • Compile, organize, and distribute internal communications and updates across the division.
  • Maintain and update departmental PowerPoint content and shared presentation assets used across multiple teams.
  • Serve as a liaison across membership, tourism development, visitor services, communications, and other Community Development and Engagement leaders to support collaboration and ensure strong cross-functional coordination.
  • Maintain strict confidentiality regarding organizational matters, personnel issues, and sensitive information.
  • Prepare presentations - including boards, committees, industry partners, corporate stakeholders, and public facing events, while maintaining supporting content libraries and ensuring brand and message consistency.
  • Manage community event presence and divisional participation, support relationships with national and local industry partners.
  • Support special projects, process improvements, and operational enhancements that improve communication and efficiency across the Community Development and Engagement teams.

  • Pay range: $32 - $36 with an annual incentive up to 5%.
  • Compensation decisions are based on experience and scope of responsibility.
