About The Position

WSP is seeking a Senior Coordinator, Administrative Support to enhance the efficiency and professionalism of their Midwest region offices. This role involves providing comprehensive administrative support to staff at all levels, ensuring smooth operations both on-site and remotely. The position requires a proactive individual who can manage various tasks, coordinate activities, and maintain office standards while fostering a positive work environment.

Requirements

  • 5+ years of experience in administrative support roles.
  • High School Diploma or equivalent.
  • Self-starter capable of taking on tasks with little direction.
  • High level of professionalism and positive attitude in interactions.
  • Demonstrated competence in Microsoft Office applications, especially Excel, Word, and PowerPoint.
  • Ability to work in a fast-paced environment with short deadlines and multiple tasks.
  • Excellent interpersonal and written and verbal communication skills.
  • Initiative to anticipate needs and complete tasks without prompting.
  • Strong time management skills and attention to detail.
  • Ability to use discretion and maintain confidentiality.

  • Experience in the engineering consulting industry.
  • Knowledge of Oracle and Adobe Professional.

Responsibilities

  • Provides administrative support to all levels of staff in the office including support of team/project/client meetings, communication, and coordination of activities.
  • Responsible for general office upkeep and liaison with building management for maintenance requests and security access cards.
  • Oversees visitor management, including guest relations, sign-ins, and managing incoming calls.
  • Coordinates shipping/deliveries and manages incoming mail/packages.
  • Acts as a liaison for the Managed Print Service program, including maintenance and supplies.
  • Assists with procurement of office materials and supplies as required.
  • Provides assistance for new hire onboarding and IT equipment coordination.
  • Coordinates safety and compliance programs for the office, including maintenance of office standards and inspections.
  • Assists with project support, including document control and records management processes.
  • May assist with financial reports and procurement activities such as Accounts Payable and Purchase Orders.
  • Serves as timecard administrator to ensure timely submission of timecards.
  • May assist with vehicle fleet program and document processing requests.
  • Coordinates IT issues with the Service Desk team and assists with new computer setups.
