About The Position

The Continuing Education Program Specialist reports to the Director of Continuing Education and is responsible for the creation and management of the entire continuing education process, from creation of registration materials, populating database, meeting all board certification standards for six registration boards, managing registration, payment, and evaluation of each participant, and orchestrating reporting back to boards of each registrant’s information. Acts as the point person for CE requests and collaborative partnerships including the Alcohol, Drug and Mental Health Board of Franklin County (ADAMH) training series. Develops content to streamline CE trainings in the online education space. Responsible for working on complex projects and tasks which are often large in scope with multiple projects occurring concurrently. Communicates with all presenters and content experts, meeting facilities, and offices for cross system collaboration. Is responsible for ensuring accessibility accommodations and compliance. Must have full mastery of several databases, including, but not limited to, Canvas, CE Broker, Carmen, WorkDay, Cybersource or its equivalent. Works closely with marketing and communications to promote our trainings and keep the website up to date. Ensures all trainings and reports meet requirement of the Association of Social Workers, the Ohio Counselor, Social Worker and Marriage and Family Therapist Board and the Ohio Chemical Dependency Board. Also acts as a liaison to the Office of Technology and Digital Innovation troubleshoots system issues will all courses and customers internal and external to the university. Uses a variety of software and online applications.. Facilitates ongoing communication with stakeholders. This position has a direct reporting arrangement to the Director of Continuing Education. Acts as primary Cybersource account manager on behalf of all CSW programs. Is responsible for the onboarding of all new CE employees. In addition, this position provides support to new trainers developing new course content and acts as a liaison to education technology in the college.

Requirements

  • Bachelor's degree or equivalent experience.
  • 4 years of relevant experience required.

  • Advanced degree in relevant field may be desirable.
  • 4-8 years of relevant experience preferred.

Responsibilities

  • Creation, management and evaluation of continuing education courses via a multitude of software programs, as well as reporting requirements to four licensure boards for social workers, counselors, marriage and family therapists, and national Approved Continuing Education (ACE) accreditor.
  • Is responsible for the creation of all course development including storyboarding, interactive elements, registration requirements and evaluation in Canvas.
  • Works collaboratively with the Office of Continuing Education and Workforce Development to ensure all CE requirements are met in the new online system from registration to completion.
  • Coordinates the development and management of at least 1 new CE Certificate program training per calendar year.
  • Creates and manages reports for internal purposes as well as reporting for CE Broker, a state-required function for all continuing education programs.
  • Operates and masters multiple software applications and manages the payment, contracting, purchasing, and travel for CE, in compliance with university policies.
  • Acts as liaison for the Office of Technology and Digital Innovation, troubleshoots all technical issues with customers; Collaborates with EdTech, and content creator/presenter to resolve any issues/concerns.
  • Manages a high volume of trainings and attendees; oversees the management of ADAMH grant training planning and implantation, coordinates event/meeting space, if applicable (includes multi-step RFP process for competitive pricing, determining correct process to submit through University systems).
  • Collaborates with other units across campus, such as Public Health, Nursing, Extension, Medicine, to plan larger conferences, to co-sponsor events to assist their conferences, and to grow audiences; has mastery of theses apps: Workday, Canvas, CarmenZoom, NelNet, MailChimp, Dreamweaver, Adobe Acrobat, go.osu.edu, CapSync/VerbIt, Qualtrics, Tableau, DocuSign, SAP Concur; Essential for the payment side of this work is being able to use NelNet: payment receipts, refunds, reporting, coordinate paylink for group regs.
