Your Specific Responsibilities: This is a highly technical administrative/clerical position, supporting the Dental Department. This position assists the dental unit in its daily operation. The incumbent in this position performs varied and diverse duties requiring basic knowledge of office management systems and procedures. Maintains comprehensive knowledge of billing and follow-up procedures for maximum recovery of reimbursable benefits, while adhering to established federal, state, and local policies under the supervision of the Operations and Management Consultant I-SES. Clerical duties may be assigned in accordance with office procedures and include a combination of scheduling appointments, answering phones, bookkeeping, typing or computer processing, office machines operation, filing and determining program eligibility. Has good rapport with staff and clients, positive attitude, flexible, approachable and accepts change readily as evidenced by lack of substantiated complaints/confrontations with staff and clients. Promotes the department as a positive caring community organization through courteous behavior toward all clients and co-workers. Adheres to established Health Department policies and procedures. Provides day-to-day support to the health center clinic by: The employee will perform the duties of billing, collecting fees, scheduling appointments, and registering clients by means of the HMS/Dental Module system. Greets and receives the clients, interviewing to determine eligibility status, answering the phones, directing clients to the proper clinic, making charts, filing charts & maintaining a filing and recall system. Maintains and organizes the calendar for the office by retrieving the client’s appointment schedule on a daily basis. Pulling patient records 1-2 days in advance to prepare for upcoming appointments, calls to remind patients of appointments 1-2 days in advance. Check Medicaid eligibility status in FMMIS 1-2 days in advance. Assist in the completion of telephone and mail correspondence. Enters fiscal data within the prescribed timeframes set by state and local policies and procedures. Reviews and corrects billing errors by crosschecking the unbilled billing listing and correcting errors prior to upload. Produces and submits required reports, to include the cash daily report. Maintaining proficiency with procedures and diagnosis codes, coordinating with providers to correct errors. Bundles sorted documents and ensures daily posting by client and cash daily drawer balance out. Inputs Client Service Reports (CSR), billing forms into HMS. Collects fees, and issues receipts and refunds (as applicable). Scans in original documents in the HMS/Eaglesoft for EHR Provides other support as requested or assigned by the dental supervisors in the unit, including guidance and assistance to all staff and the dental clients to promote the department’s goals and objectives. May be assigned Medical Record maintenance and/or Receptionist/Switchboard Operation as needed. Travels and performs other related duties, including travel to other sites, and assisting other departments, as needed. The incumbent will be required to use his/her own vehicle. In the event of a disaster, report for duty during and/or after the disaster, as directed. Due to clinic demands, may be required to work beyond regular hours. Updates manuals when rates, rules and regulations are amended. Ensures that accurate, up-to-date data for demographic, insurance and financial information is entered into HMS. Inputs own and staff EARS (when required) within required time frame (COB every Thursday), and produces the Employee Time Report as required. Produces payments, receipts and other financial reports and submits to the Fiscal Office daily. Submits time sheets, EARS, and prepares own travel vouchers. Complies with all Department of Health and Dental security and confidentiality rules and requirements. This position serves a large population of Spanish/Creole speaking clients and the employee may be required to perform interpreter duties, if bilingual. Maintains proficiency with software applications/programs and other office equipment commonly used by the department (i.e. HMS, FMMIS, Outlook, Word, Excel, copier, shredder, fax, label maker, printer, etc.). May be required to order supplies using the agency purchasing system. Collects data for the daily report and forwards this information to the Operations and Management Consultant I-SES, Dental Director, Dental Assistant Supervisor, and Clinic Supervisor. Sends to Dental Department Administrative Assistant to be compiled. Serves as Information Custodian for the dental clinic for assigned information sets, maintaining confidentiality for the information in accordance with state and federal statutes, rules, regulations and DOH Security Policies, Protocols and Procedures. Perform other duties as assigned by supervisor.
