Why This Role Matters The Senior Business Coordinator, CEO Office, provides the CEO support with client relationships management, business analytics and internal and client communications. The role will be a strategic resource, helping drive alignment, communication, and execution of projects or initiatives as directed by the CEO. The duties are varied and will include, but are not limited to: strategic calendar management, travel planning, client correspondence and liaising with individuals across the organization on behalf of the CEO, and tracking strategic initiatives. This role will also work closely with the Executive Assistant to the CEO to manage overall schedule and activities. How you'll make an impact Office Coordination and Management Manage the workflow of the CEO’s office, ensuring alignment, prioritization and timely delivery across all stakeholders, working closely with the Executive Assistant to the CEO. Act as the central point of coordination for all major initiatives, deadlines and meetings involving the CEO. Prepare executive briefings and background materials to ensure the CEO is fully equipped for meetings and engagements. Coordinate with internal communications, HR, finance and other departments to ensure smooth operational functioning of the CEO’s agenda. Manage the interface between the CEO and senior stakeholders Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business Perform other duties as assigned by CEO and management Projects and Strategic Initiatives Work closely, efficiently and effectively to build and maintain relationships across other departments, including international and regional offices, external organizations, individuals, and institutions Support the execution and tracking of CEO Office strategic initiatives, including special projects, organizational priorities, and executive communications Prepare presentations, briefing documents, and reports for internal and external meetings Liaise with senior executives, board members, clients, and external organizations with professionalism and confidentiality Assist with client engagement activities, including event planning, guest list management, and follow-up communications

Requirements

  • Bachelor’s degree preferred, or equivalent work experience
  • A minimum of three to five years’ related work experience.
  • Excellent communication, including superior written and spoken communication
  • Strong interpersonal and client service skills, demonstrated with superiors, clients and peers
  • Exceptional at building and maintaining relationships
  • Highly organized with a demonstrated ability to multi-task and prioritize
  • Exceptional follow-up skills with attention to detail
  • A high level of diplomacy and ability to remain calm in stressful situations
  • Positive, problem-solving attitude
  • Confident experience with Outlook e-mail, and proficient in the Microsoft Office suite (Word, Excel, Power Point, etc.)
  • Knowledge of, or the ability to learn Christie’s systems

  • Experience in the Art World preferred but not a prerequisite.
