About the position

The senior associate is responsible for providing comprehensive administrative support for our company's Research Laboratories Ventures Fund and the Business Development & Licensing team in our company's Boston Innovation Hub, and will report to the Associate Vice President & Managing Partner of our company's Research Laboratories Ventures. The successful candidate will use advanced administrative, clerical, organizational and communication skills to facilitate transactions between our company and Life Sciences collaborators across the globe. The position requires scheduling and arranging internal and external meetings, teleconferences, travel, expense management, tracking and logging projects and legal documents in specialized databases and team sites as well as managing calendars for several BD&L and our company's Research Laboratories Ventures staff. This includes varied and dynamic interactions with internal and external stakeholders worldwide. The incumbent is an important contributor to the success of due diligences, licensing agreement execution, and material preparation/submission/distribution to governance committees. This role will provide for opportunities to interact directly with our company's leaders across multiple line functions (BD&L, Legal, Patents, Communications, Finance, etc.) and would benefit from a candidate with the drive and initiative to make contributions to cross-disciplinary initiatives (e.g., event planning, community out-reach).

Responsibilities

  • General administrative/clerical duties constitute most of the job responsibilities.
  • Completes work assignments in a fast-paced environment, managing to critical deadlines.
  • Anticipates needs of the Associate Vice President and their team and prioritizes work.
  • Advanced Microsoft Office use to support planning, calendar management, meetings, conferences and appointments.
  • Organizes frequent international travel, and researches and negotiates travel expenses to adhere to departmental travel budgets.
  • Effectively communicates with senior staff and executives, both internally and externally to coordinate schedules and events.

Requirements

  • High School Diploma required.
  • 5 or more years of professional experience, including at least 2 years in role with administrative experience supporting Executives.
  • Advanced computer skills (Microsoft 365 applications) and some knowledge of enterprise communication and accounting solutions (e.g., Teams, SAP, Concur).
  • Ability to handle and prioritize many simultaneous assignments.
  • Experience with managing sensitive and confidential documents and communications.
  • Event Planning/Coordination experience.
  • Extraordinary attention to detail.
  • Outstanding communication and people skills.

Nice-to-haves

  • Advanced education or certifications preferred.
  • Focus in business development and/or venture capital preferred.
