About The Position

Keller Postman seeks a Senior Arbitration Paralegal to support its growing practice representing claimants in high-volume, complex arbitration proceedings. This role will be heavily focused on managing all phases of arbitration matters—from pre-filing through hearings and post-award administration—often across thousands of individual claims. The Senior Arbitration Paralegal will be responsible for executing and overseeing complex workflows in a fast-paced, high-volume environment, with a strong emphasis on organization, process management, and attention to detail. This individual will also spend approximately thirty percent of their time coordinating assignments within an assigned arbitration docket, as well as mentoring and training paralegals and legal assistants. This in-person role may be based in Chicago, Washington, D.C., or Coral Gables, Florida. The compensation range for this full-time position is $60/hour to $90/hour, plus a year-end discretionary bonus and benefits.

Requirements

  • Deep understanding of arbitration procedures, rules, and forums (e.g., AAA, JAMS), including mass arbitration processes.
  • Experience managing high-volume case dockets or large-scale, multi-claim matters.
  • Familiarity with California court rules and procedures.
  • Strong project management and organizational skills, with the ability to manage competing deadlines across hundreds or thousands of matters.
  • Demonstrated proficiency in legal writing, document preparation, and citation practices (Bluebook familiarity preferred).
  • Ability to coach, mentor, and develop junior team members.
  • Ability to function effectively in a fast-paced, high-volume, and evolving environment.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Excellent time-management skills with a proven ability to meet deadlines and adapt to shifting priorities.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently while also collaborating effectively across teams.
  • Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and legal systems (e.g., NetDocuments, PACER, Westlaw).
  • Minimum of 6 years of paralegal experience required.
  • Significant experience supporting arbitration matters, preferably high-volume or mass arbitration, strongly preferred.
  • Experience managing complex case workflows across multiple jurisdictions or forums.
  • Experience mentoring and training junior legal support staff.

Nice To Haves

  • Experience working with arbitration platforms (e.g., AAA, JAMS) and/or high-volume filing systems preferred.
  • Associate’s or bachelor’s degree from an accredited college or university preferred.

Responsibilities

  • Coordinate and assign tasks to paralegals and legal assistants across large arbitration dockets, ensuring timely and accurate execution of filings and deadlines.
  • Assist with training and development of legal support staff by coaching and mentoring, particularly on arbitration-specific processes and workflows.
  • Manage all phases of arbitration matters, including demand preparation and filing, arbitrator selection, case administration, discovery coordination, hearing preparation, and post-award processes.
  • Prepare and file arbitration demands, submissions, and supporting documentation with arbitration forums such as AAA, JAMS, and other providers.
  • Track and manage high-volume arbitration filings, deadlines, and procedural requirements across multiple jurisdictions and arbitration forums.
  • Coordinate arbitrator selection processes, including strike lists, rankings, and communications with arbitration administrators.
  • Support hearing preparation by organizing exhibits, witness materials, and hearing binders; manage logistics for remote and in-person arbitration hearings.
  • Maintain and oversee large datasets related to arbitration claims, ensuring accuracy in client information, claim status, and filing requirements.
  • Conduct factual and legal research to support arbitration strategy and case development.
  • Cite-check legal documents and ensure compliance with applicable arbitration rules and procedural requirements.
  • Organize and maintain case files, client records, and arbitration materials in electronic systems, including NetDocuments and other case management platforms.
  • Develop and implement scalable processes and workflows to efficiently manage high-volume arbitration matters.
  • Communicate with arbitration forums, opposing counsel, clients, experts, and vendors as needed.
  • Coordinate cross-functionally with internal teams (e.g., intake, data, and litigation support) to streamline arbitration processes.
  • Other duties as assigned.
