We are seeking a proactive, organized, and detail-oriented Senior Administrative Coordinator to provide high-quality administrative support to multiple Senior Directors and Vice Presidents. This role operates within a shared support model, offering task-driven, efficient administrative assistance across a range of leaders and teams. The Senior Administrative Coordinator plays a vital role in keeping daily operations moving smoothly, ensuring that leaders can focus on strategic initiatives. Responsibilities

  • Provide calendar management, meeting scheduling, and coordination for multiple leaders across teams
  • Arrange domestic and international travel, including itineraries and logistics
  • Process and track expense reports, invoices, and related documentation
  • Assist with meeting logistics, including agendas, materials, note-taking, and follow-ups
  • Support basic site administrative functions as needed (e.g., space planning coordination, supply ordering, visitor logistics)
  • Maintain document organization and version control across shared systems
  • Communicate effectively with internal stakeholders and partner EAs
  • Work collaboratively within a centralized support model under the guidance of a Senior EA

Requirements

  • 5-7 years of experience in an administrative, coordinator, or office support role
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace
  • Strong time management and organizational skills with high attention to detail
  • Ability to handle sensitive and confidential information with professionalism and discretion
  • Excellent verbal and written communication skills
  • Customer-service mindset with a proactive, flexible approach to shifting priorities
  • Ability to earn trust, maintain positive and professional relationships, and contribute to a culture of inclusion
  • Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum

Nice-to-haves

  • College degree
  • Experience supporting multiple stakeholders or working in a shared services model
  • Familiarity with travel booking platforms and expense management systems (e.g., Concur, Navan)
  • Experience with international travel, including travel booking sites and protocols
  • Experience in a fast-paced, highly technical or operations-focused environment
  • Interest in aerospace, technology, or mission-driven organizations
