About The Position

The Senior Administrative Coordinator II at Texas A&M University Health Science Center is responsible for providing comprehensive administrative support to a unit or specialized activity. Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Seven years of experience in office administration.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.

Responsibilities

  • Manage the Department Head's calendar of meetings and special events.
  • Organize campus-level meetings with constituents as required.
  • Anticipate future schedule conflicts and resolve them promptly.
  • Manage highly confidential information with discretion.
  • Coordinate Tenure and Promotion Packets (Interfolio).
  • Coordinate Department Budget planning with the Office of Business Affairs.
  • Manage travel arrangements and process reimbursements for faculty, staff, students, and guest speakers through Concur.
  • Coordinate graduate faculty appointments with Office Graduate and Professional Studies for submission to the Graduate Faculty Portal.
  • Manage hiring paperwork for faculty and adjunct hires through the Dean of Faculties Portal and WorkDay.
  • Manage Department Hiring for faculty, staff, student assistants, and graduate research assistants.
  • Assist with the oversight of Graduate Teaching Assistants and Student Assistants regarding timesheets and tuition.
  • Maintain and update the department website through CMS.
  • Oversee training for staff and student assistants in various systems.
  • Facilitate faculty CV updates and upload to Quick Base for the Department Website.
  • Collect and file all syllabi each semester.
  • Provide direct support for the Ph.D. Program, Health Services Research.
  • Maintain and update the Ph.D. program website.
  • Coordinate student logistics with various university offices.
  • Work collaboratively in a cross-functional team environment.
  • Participate in the planning and execution of administrative operations.
  • Establish goals and objectives of administrative operations.
  • Plan, implement, coordinate, analyze, monitor, and evaluate administrative support functions.
  • Analyze internal processes and recommend procedural or policy changes.
  • Assist in the development of budget and formulate management policies.
  • Monitor compliance with policies and procedures.
  • Prepare and review operational and special reports.
  • Plan and conduct meetings, workshops, and training programs.
  • Manage department property including over 150 assets.
  • Manage approval and review of degree plans, tuition waivers, and dissertation committee members for the Ph.D. program.
  • Manage logistical aspects of the Ph.D. Committee.
