About The Position

Purpose: The Senior Administrative Coordinator II for External Engagement plays a pivotal role within the Chemical Engineering Department at Texas A&M University. Reporting directly to the Department Head, this position oversees and manages the department's external engagement initiatives, focusing on research support, recruitment and hiring, departmental awards, and various other external facing administrative duties. The individual will work closely with faculty, staff, and external stakeholders to support the department's mission and objectives. Success in this role requires exceptional time management, strong organizational abilities, and the capacity to proactively identify and address needs. The individual must be a self-starter, a dependable team player, and someone who thrives in a fast-paced, collaborative environment.

Requirements

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Seven years of related experience.
  • Strong proficiency in word processing, spreadsheet, database, and presentation applications.
  • Familiarity with Microsoft Teams, Qualtrics, and Interfolio.
  • Ability to learn new programs quickly.
  • Proactive and able to manage multiple projects under tight deadlines.
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication skills.
  • Detail-oriented and able to work collaboratively in a fast-paced environment.
  • Willingness to travel and work outside of normal working hours.
  • The position requires on-campus, face-to-face interactions and the maintenance of a regular schedule.

Responsibilities

  • Recruitment and Hiring: Coordinate administrative aspects of faculty recruitment and hiring processes.
  • Assist in the promotion and recruitment of domestic graduate students.
  • Manage faculty hiring using Interfolio and other online systems.
  • Maintain accurate records on faculty recruiting, hiring, and placement.
  • Assist with joint faculty appointments and maintain confidential faculty files.
  • Oversee administrative support for faculty candidates and seminar speakers.
  • Internal and External Awards: Provide support for nominating Faculty for Internal and External Awards
  • Manage communication, submission, and presentations for departmental awards.
  • Assist in drafting letters and maintaining a database of award recipients.
  • Oversee departmental award programs for faculty and staff.
  • Work alongside the department's award committee to proactively find external awards to promote department faculty.
  • Research and External Support: Assist researchers with the preparation and submission of proposals for external funding.
  • Identify potential funding sources and match them with departmental projects.
  • Monitor and track submitted proposals and donor activity.
  • Oversee the Department Advisory Council and provide support to research faculty.
  • Work closely with the Director of Research.
  • Other Duties: Run expense reports for purchasing/travel cards.
  • Cross-train with internal engagement duties and serve as backup to other administrative staff.
  • Perform additional duties as assigned.
