About The Position

The Student Health Center (SHC) is a primary care clinic providing services to enrolled students. In addition, the SHC manages immunization compliance and is a resources and liaison for the opt-out student health insurance program. The Senior Administrative Assistant is responsible for providing a wide range of administrative assignments while coordinating and facilitating the smooth and efficient flow of patients through the Student Health Center. efficient flow of patients through the Student Health Center under the supervision of nurse practitioners. This position often serves as the first point of contact for patients and parents, requiring an awareness of the psychosocial needs of a patient. As such, this person must have the knowledge and skill to support people on all levels and manage a multitude of diverse assignments. This position reports to the Medical Director of the SHC.

  • Computer skills with ability to utilize and navigate between multiple systems. And experience with electronic medical record keeping, including documenting, and maintaining patient care record.

  • High School diploma or equivalent (GED)
  • Two or more years administrative office support experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
  • Computer skills including Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to multitask and maintain composure during stressful situations. Must be able to prioritize activities and accomplish multiple tasks in a fast-paced work environment.
  • This position requires a criminal history background check.

Nice To Haves

  • AA degree preferred or equivalent experience.
  • Three (3) or more years of administrative support experience
  • Experience in healthcare
  • Experience with word-processing, data entry, report generation, spreadsheets, and website maintenance skills as well as keen attention to accuracy and detail.

Responsibilities

  • The primary point of contact at the reception includes interaction with students, staff, and faculty both in person and on the phone.
  • Monitor and respond to SHC email and voicemail messages to main number.
  • Must have knowledge of the most current information about the immunization policy, release of records, and student health insurance plan and waiver policy.
  • Management of postal mail.
  • Taking/routing messages to providers.
  • Manage patient schedule in electronic health record (Medicat) including scheduling appointments with necessary patient instructions, cancel appointments, and check in and out management.
  • Learn and become proficient with multiple aspect of the electronic health record (Medicat): patient management module, immunization compliance management module, and portions of visit charting module (preferred name, patient summary, all notes, tasks, progress notes, phone messages, scanning records)
  • Money management at front desk including reports and end of day reconciliation.
  • Ordering and management of office supplies
  • Records management includes records releases, referrals and scanning into EHR
  • Maintenance work orders.
  • Immunization Compliance Management as delegated
  • Opening and closing clinic responsibilities for the waiting room, administrative front desk, and bathroom.
  • Updating and maintenance of SHC website and Instagram page
  • Communicate regularly with clinic administration and actively participate in team meetings for effective problem solving and communication.
  • Regular and predictable attendance and punctuality.
  • To be able to perform the above essential duties and responsibilities as well as other duties as assigned by clinic administration under minimal supervision.
