About The Position

The Senior Administrative Assistant in our Waltham, MA office plays a multifaceted role, providing essential administrative and operational support to technical and office staff. This position requires sound judgment, strong organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment. Requirements

  • 7+ years of relevant administrative assistant experience or equivalent.
  • Experience in a fast-paced professional environment.
  • Business and technical document preparation experience is strongly preferred.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is required.
  • Full-time in-office presence, and overtime as necessary.

  • Bachelor’s degree is preferred, not required

Responsibilities

  • Serve as a trusted administrative resource, providing proactive support to staff and leadership with professionalism, judgment, and efficiency.
  • Coordinate and support planning of meetings, office events, catering, presentations, client seminars, etc., and manage related calendar scheduling, ensuring materials and logistics are prepared in advance.
  • Manage complex calendar, anticipate conflicts, and facilitate smooth coordination across varied schedules and stakeholders.
  • Prepare, edit, and format general and technical documents to SGH quality standards.
  • Support the management of technical staff licenses, including tracking renewals and credits.
  • Coordinate travel arrangements.
  • Process and reconcile expense reports.
  • Partner with HR to facilitate the new hire onboarding process and coordinate orientation responsibilities.
  • Coordinate with the IT department to troubleshoot issues with conference rooms, staff workstations, and equipment setup.
