About The Position

The Senior Administrative Assistant is responsible for assisting all team members with office-related issues while providing a solution to situations. The Senior Administrative Assistant reports to and assists the Office Manager in Herndon, VA. This is an in-office role that requires a consistent 8am-5pm schedule with limited flexibility outside of these hours. There is limited to no travel required for this role, but support of in-office events is required before and after hours at times. To be successful, the candidate should be dependable and professional with a polite demeanor and positive attitude. Previous experience working in a corporate office setting is required.

Requirements

  • 4+ years of experience in customer service and hospitality
  • At least 2 years of experience as a Receptionist in a professional services environment
  • Experience using Microsoft Office
  • Must be able to work 40 hours a week in the office
  • Must be able to lift 20 lbs independently

Responsibilities

  • Act as the point of contact for internal and external clients; provide general support to visitors; answer and direct phone calls in a courteous, professional manner
  • Maintain office, conference rooms, and kitchen are orderly, neat, and well stocked
  • Order office supplies and research new deals and suppliers
  • Process incoming and outgoing mail and FedEx packages, tracking for compliance purposes
  • Assist Marketing with frequent large package shipments
  • Report and manage any office-related maintenance issues, including coordinating with the building management company
  • Work with multi-function printers, including scanning documents and sending them as email attachments, configuring copy settings, and performing light maintenance tasks such as replacing toner cartridges
  • Update and maintain office policies and procedures, including the employee directory and badge inventory
  • Write and distribute emails, correspondence memos, and forms for distribution
  • Submit and reconcile expense reports
  • Occasionally travel offsite to deliver reports or files or run an office errand
  • Manage swag and operations uniform inventory, including online platform management and vendor follow-up
  • Order catering weekly and ad hoc for meetings and office events
  • Assist with all new employee onboarding, offboarding, and employee engagement initiatives and events
  • Liaise with Executive and senior administrative assistants to handle requests and queries from senior managers
  • Assist with signature authorization and ensure confidentiality and security of files
  • Provide administrative support to select Executives, including expense, calendar, and travel management
  • Perform other miscellaneous office/administrative/clerical duties as assigned
