About The Position

The Senior Administrative Assistant at Ulteig will provide comprehensive administrative support to senior-level leadership and specific office locations. This role involves managing calendars, coordinating travel, handling expenses, and organizing events and meetings. The position also includes assisting with operational processes, employee development, and general clerical duties, all while ensuring excellent customer service and adherence to company policies.

Requirements

  • High School degree or equivalent (GED) required; two-year technical degree preferred.
  • Minimum of 5 years of administrative experience preferred.
  • Proven proficiency in Microsoft Software Applications (Word, Excel, PowerPoint, Outlook).
  • Experience supporting senior-level leadership with calendar management and travel coordination.
  • Excellent verbal/written communication, time management, and organizational skills.
  • Strong attention to detail and ability to work on multiple projects while meeting deadlines.
  • Ability to work independently and collaboratively in a team environment.
  • Proactive, resourceful, and self-motivated with a forward-thinking approach.
  • Ability to mentor and coach others.
  • Ability to maintain confidentiality.

Responsibilities

  • Provide significant administrative support to specific office locations and senior-level leadership.
  • Manage calendars, coordinate travel, and handle expense management.
  • Organize events and meetings, including preparation for meetings and townhalls.
  • Assist in operational processes and procedures improvement.
  • Support employee development and new hire training.
  • Perform general clerical duties such as photocopying, scanning, and mailing projects.
  • Retrieve, assign, and complete requests for information through the help desk ticket system.
  • Provide excellent customer service to both internal and external clients.
  • Create acknowledgments for life events such as cards, flowers, and gifts.
  • Act as backup for other administrative and office assistant staff.
  • Complete errands and other duties as assigned.
