About The Position

SUMMARY: The Senior Administrative Assistant II provides comprehensive administrative support to the Assistant Superintendent and the Office of Teaching and Learning (OTL). This position plays a vital role in supporting districtwide teaching and learning initiatives, professional development activities, and maintaining efficient communication and operations across the Dingley departments. The role also includes collaborative support to other Central Office departments, ensuring consistency, efficiency, and alignment with district goals. High attention to detail, flexibility, and a willingness to take initiative as well as adapt, grow, and learn new skills and technologies as the needs of the Office of Teaching and Learning evolve is essential to this position.

Requirements

  • High school diploma or GED required; at least three years of office experience or an equivalent combination of education and experience.
  • Ability to read and interpret standard documents such as policies, safety rules, and procedures.
  • Skilled in writing clear correspondence and reports and communicating effectively with staff and administrators.
  • Ability to perform basic calculations involving percentages, proportions, and basic algebra and geometry.
  • Ability to follow written, oral, or visual instructions and solve routine problems using sound judgment.
  • Skilled in operating standard office equipment and software.
  • Strong interpersonal, organizational, and communication skills.
  • Ability to perform duties in alignment with district policies and procedures.
  • Ability to perform each essential duty satisfactorily.
  • Regularly required to sit, talk, and hear; frequently to walk; and occasionally to stand and reach.
  • Must be able to lift up to 10 lbs. and occasionally deliver bulk mailings.
  • Specific vision abilities include close vision and depth perception.

Nice To Haves

  • Proficiency in Google Workspace (Docs, Sheets, Slides, Forms) and familiarity with Excel, Adobe, and MUNIS or similar systems preferred.

Responsibilities

  • Coordinates meetings, workshops, field trips, and district events for OTL, schools, and other departments.
  • Supports Central Office teams with scheduling, documentation, and coordination of shared initiatives.
  • Maintains confidentiality of personnel, student, and district information.
  • Provides customer service-oriented support to building and program leaders.
  • Provides backup coverage for the Superintendent's Executive Assistant.
  • Maintains and updates the district policy manual and curriculum inventory system.
  • Manages professional learning activities in the Frontline Professional Growth platform, including creating events, assigning participants, and tracking completion.
  • Provides training, guidance, and troubleshooting for professional learning and inventory systems.
  • Collaborates with the Assistant Superintendent and department leaders to ensure accurate documentation of PD hours and required trainings.
  • Codes, processes, and tracks invoices, purchase orders, and reimbursements in coordination with the Business Office.
  • Retrieves and reviews monthly budget reports to monitor account balances and spending.
  • Manages employee forms, purchase requests, and office supply orders for OTL and other departments.
  • Assists with the preparation of state and federal reports, grant applications, and related documentation.
  • Provides administrative guidance and training to school and district administrative assistants to ensure consistency and efficiency.
  • Collaborates with technology, HR, and curriculum departments to streamline cross-departmental processes.
  • Supports OTL initiatives including curriculum updates, instructional resource management, and educator evaluation processes.
  • Processes staff timesheets, mileage reimbursements, vacation requests, and repair or purchase requests.
  • Performs other duties as assigned by the Assistant Superintendent or Superintendent.
