About The Position

The Sr Administrative Assistant at Houston Methodist is responsible for providing comprehensive non-clinical administrative support to individuals or departments. This role involves scheduling, coordination, and follow-up for meetings, events, and travel, as well as managing calendars, preparing documents, processing invoices, and maintaining databases. The position requires attention to detail and proficient use of office technology to ensure accuracy and efficiency in administrative tasks.

Requirements

  • High School diploma or equivalent education; Bachelor's degree or additional four years of experience in lieu of degree preferred.
  • One year of experience in an administrative support role, with experience in travel coordination and expense management.
  • Proficient in Microsoft Office software programs, including Word, Excel, and PowerPoint.
  • Strong organizational, communication, and interpersonal skills.

  • Familiarity with database management and report preparation.

Responsibilities

  • Perform a variety of non-clinical administrative support tasks including scheduling and coordination of meetings and events.
  • Manage calendars and prepare documents and presentation materials.
  • Process invoices and reimbursements, and compose or transcribe correspondence.
  • Support department projects and activities, creating and maintaining databases and spreadsheets.
  • Answer telephones and provide follow-through on inquiries and requests.
  • Greet customers and respond to inquiries requiring advanced department knowledge.
  • Identify and address potential customer problems, communicating concerns to management.
  • Maintain department schedules and coordinate calendars for personnel, arranging meetings and travel.
  • Record meeting discussions and maintain department organizational charts and forms.
  • Order and stock supplies, ensuring inventory levels are maintained.
