About The Position

The Senior Administrative Assistant at Villanova University's Center for Access, Success and Achievement plays a crucial role in providing administrative support to the department and its students. This position involves managing various administrative tasks, ensuring a welcoming environment, and directly supporting the Director and CASA team. The role is essential in facilitating the center's mission to create an inclusive educational experience for students.

Requirements

  • High School Diploma required.
  • Three years of administrative experience in an academic or non-profit environment with progressively increasing responsibilities.

Responsibilities

  • Create a welcoming and responsive experience for guests.
  • Manage CASA's resource portfolio, including the Lending Library.
  • Answer phones and emails, responding to inquiries.
  • Maintain files and order supplies as needed.
  • Support team member workflows and prepare tuition remission and stipend approval forms for CASA graduate students.
  • Work directly with CASA coaches to support their caseload of students.
  • Assist with the onboarding hiring process of graduate assistants and maintain their files and records.
  • Manage disbursement of laptops to CASA students and oversee inventory management of the laptop and calculator lending program.
  • Assist Presidential Scholars with instructional digital purchases as necessary.
  • Process stipend payments and tuition remission.
  • Assist the Senior Associate Director with training and supervision of graduate assistants.
  • Complete Purchase Order and P-Card transactions and process invoices.
  • Assist the Senior Director with budget management and financial forecasting.
  • Photocopy, print, collate, archive, and distribute mail/notices as needed.
  • Ensure CASA has all required supplies on hand and order supplies/equipment as requested.
  • Facilitate and coordinate meeting scheduling for CASA staff.
  • Coordinate equipment contracts/repairs and facilities requests.
