About The Position

The Senior Accounts Payable Associate will be responsible for managing accounts payable process with a strong focus on inventory invoice matching, reconciliation and vendor relations. This role ensures accuracy between purchase orders, receiving documents, and vendor invoices. The ideal candidate has solid AP experience, strong analytical skills, and the ability to collaborate with various internal departments to streamline processes.

Requirements

  • High School Degree - Required
  • Bachelor's degree in Accounting, Finance, or related field preferred (or equivalent work experience)
  • 3-5+ years of accounts payable experience, with at least 2 years in inventory-related AP
  • Strong understanding of 3-way match (invoice, PO, receiving)
  • Proficiency in ERP/accounting systems (AS400, Eclipse or any other large ERP system)
  • Advanced Excel skills (pivot tables, VLOOKUP, reconciliation)
  • Strong problem-solving, organizational, and communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Nice To Haves

  • Experience in manufacturing, wholesale distribution, or retail environments
  • Knowledge of inventory management and costing principles
  • Familiarity with process automation tools (AP automation software)

Responsibilities

  • Accurately review, match, and process high-volume invoices against purchase orders
  • Resolve discrepancies between invoices, purchase orders and receivers (3-way match)
  • Ensure timely payment of vendor invoices while maintaining compliance with company policies
  • Reconcile vendor statements and resolve outstanding issues promptly
  • Collaborate with branch leaders to resolve open discrepancies
  • Analyze issues at the vendor level
  • Interpret and/or process all types of documents received within the A/P department
  • Have a working knowledge of the debit/credit memo process
  • Work comfortably and efficiently in a large ERP environment within a centralized Accounts Payable department
  • Protect organization's confidential information
  • Respond to branch inquiries in a timely manner
  • Work the assigned schedule and comply with the Company's timekeeping policy
  • Other duties as assigned
