About The Position

The Department of Statistics, within the College of Arts and Sciences, seeks a Graduate Studies Program Coordinator to join the team supporting our thriving graduate programs. With 34 faculty members, 7 staff members and four graduate degree programs attracting students from a wide range of backgrounds, we offer a dynamic environment where contributions directly impact student success and program excellence. Working collaboratively with the faculty Vice Chair of Graduate Studies, the Graduate Studies Program Coordinator manages complex projects supporting the department's graduate programs and students. This team member exercises independent judgment on routine matters, receives general guidance on new projects, and handles sensitive information with discretion. The major responsibilities of this position include the following.

Requirements

  • Bachelor's degree or equivalent experience
  • 4 years of relevant experience required

Responsibilities

  • PROGRAM ADMINISTRATION creates and maintains comprehensive files and databases tracking current graduate student information, including funding sources, degree progress, and TA eligibility; provides regular status updates to departmental administrators and identifies possible at-risk students; facilitates strategic planning for graduate teaching and research associate appointments by collecting and analyzing information from faculty and students; administers the department's graduate associate hiring plan in coordination with departmental and college staff; manages administrative processes for graduate exam committees and serves as active participant on other relevant committees; proposes and implements process improvements to enhance graduate program efficiency and effectiveness; coordinates formal degree program assessment; develops and maintains related documentation and reports; manages alumni databases and career outcomes tracking; coordinates alumni engagement communications and events in collaboration with departmental leadership; maintains reports, tables and websites and responds to ad-hoc requests for data; interviews, hires, trains and evaluates student assistant(s), as needed
  • STUDENT SUPPORT designs and implements onboarding processes for new graduate students; provides ongoing guidance to students on coursework, policies, and procedures; assists students in navigating procedural requirements including class registration and graduate school requests; manages graduate student office space assignments; responds to student inquiries and exercises independent judgment in resolving student issues, escalating sensitive matters appropriately; plans and implements graduate student professional development programming and career-related events; serves as primary administrative liaison for the Biostatistics and Statistics Graduate Student Association (BSGSA), facilitating organizational planning and resource needs; serves as primary liaison regarding college and university support services for graduate students and advocate for student wellness; conducts exit interviews and surveys; analyzes feedback for program improvement recommendations
  • STUDENT RECRUITMENT plans and manages comprehensive graduate recruitment processes for statistics programs in collaboration with the Vice Chair of Graduate Studies and Graduate Admissions Committee; ensures adherence to current graduate recruitment policies and procedures; establishes and maintains systems to track applicant status and manage all corresponding documentation for statistics programs and monitors admissions for relevant interdisciplinary programs; manages processing of all admission-related tasks in the university student information system; compiles and submits admission, nomination and award data to key university offices within required timeframes; responds independently to inquiries from prospective applicants regarding all department-affiliated graduate programs; facilitates timely completion of applications through proactive communication with applicants; plans and executes recruitment events and outreach activities in collaboration with the Vice Chair for Graduate Studies and departmental staff
