About The Position

The Self-Directed Administrative Assistant must be detail-oriented and proactive to support departmental operations and ensure compliance with organizational procedures. This role is responsible for maintaining accurate staff records, coordinating essential documentation and training, and providing ongoing administrative support to keep workflows organized and efficient.

Requirements

  • Two years’ experience as an administrative assistant or in a clerical role.
  • Proficiency in Excel and Data Management: Ability to create, update, and manage spreadsheets and reports.
  • Strong Organizational Skills: Capacity to manage multiple tasks simultaneously and maintain efficient workflows.
  • Excellent Communication Skills: Clear verbal and written communication with staff, management, and outside partners.
  • Detail-Oriented & Reliable: Commitment to accuracy, follow-through, and maintaining compliance.

Nice To Haves

  • Bilingual Skills (Preferred): Ability to communicate effectively in more than one language is a plus.

Responsibilities

  • Assist with processing and tracking required staff evaluations and documentation.
  • Prepare, send, and maintain records for offer letters, attestations, and other compliance-related forms.
  • Ensure timely completion of staff requirements such as annual acknowledgments, training, and policy updates.
  • Assist with onboarding tasks including setting up new staff in internal systems and updating or removing staff records as needed.
  • Monitor and track staff training requirements, recording training hours for payroll and compliance purposes.
  • Support coordination of departmental schedules, meetings, and events to ensure timelines are met.
  • Work collaboratively with team members to organize staff-related activities and program launches.
  • Maintain organized and accurate digital and physical files, ensuring all documentation is properly recorded and accessible.
  • Provide routine administrative assistance such as maintaining contact lists, organizing information for internal use, and supporting day-to-day departmental needs.
  • Assist with communication between staff, families, and external partners as required.
  • Other duties as assigned.
