About The Position

Under the supervision of the Program Director the Secretary will perform skilled clerical work and provide general secretarial support to department administrators. The Secretary will be responsible for assisting with maintaining financial records and facilitating communication among company departments and supporting management, using a variety communication and organizational skills This position is ideal for someone who is motivated, able to prioritize work assignments as they come in, and capable of working without supervision.

Requirements

  • High School Diploma or General Education Diploma
  • Minimum of three (3) years of secretary experience supporting management.
  • Must obtain Mandated reporter (2 hours) within30 daysof hire.

  • Must be computer literate (proficiencyin MS Word, Excel,PowerPointand Outlook)
  • Able to multi-task and produce in a fast paced, team orientated environment.
  • Strong analytical skills, organizational skills, follow-upskillsand attention to details
  • Able to follow through on assignments and meet deadlines.
  • Superb interpersonalskilland ability to interact with individuals at all levels.
  • Able to handle privileged information andmaintainconfidentiality using judgment,tactand courtesy.

Responsibilities

  • General calendar maintenance including prioritizing and scheduling meetings
  • Drafts and prepares correspondence, memos, and letters for internal and external use at Director’s request
  • Compiles data for monthly statistics and reports.
  • Completes special assignments, as needed.
  • Compiles and inputs all new patient demographics into NEXTGEN, OASAS,and LabCorp
  • Completes reconciliation of OASAS and Program Roster on monthly basis
  • Perform related functions necessary to ensure the smooth running of the program’soperations.
  • Attend staffmeetingandpreparesmeeting minutes.
  • Admits and Discharges patients from OASAS.
  • Respond to queries in person, via telephone or email
  • Perform administrative tasks, including filing and photocopying.
  • Develop and implement office procedures.
  • Contributes to team effort byaccomplishingrelated results as needed,
  • Performs other related duties, as requested.
