Position Summary To provide Secretarial, Clerical and Administrative support to management.

Requirements

  • High School Diploma and at least one year of relevant experience.

Responsibilities

  • Maintain appointment calendar -- schedule annual and semi-meetings, and confirm appointments.
  • As directed, schedule meetings -- book space; prepare conference room, equipment, refreshments, etc.; notify and confirm with participants through memo, voice mail and/or E-mail.
  • Maintain various tracking logs, including but not limited to, staff trainings, PPD records, adaptive equipment orders; / incident management; training; and certifications.
  • Based on tacking logs produce and distribute regular reports.
  • Receive and prepare billings for management signature. This task may require preliminary distribution to appropriate Coordinators and verification of billing amounts against time cards/sheet.
  • Act as liaison between management and Human Resource Department. This tasks includes, but is not limited to, tracking vacancies; tracking training records; schedule staff training; accessing current status of recruitment efforts; and preparation of paperwork related to recruitment, hiring and/or termination for management signature.
  • As directed, disseminate information and/or materials. This task may require word processing, copying, mail distribution and/or phone contact.
  • As directed, access information, regulations, forms, etc. from either other Welllife Network departments or outside agents.
  • As directed, initiate contact with Welllife Network staff or outside agents through email or phone.
  • Maintain files-- organize and file documents in a manner which allows for ease of access by management.
  • Prepare mail for presentation to management. This tasks includes collecting, opening, date stamping and organizing mail presentation based on prioritization system specified by management.
  • Utilize office machines, including, copier, E-FAX, and computer. Use of the computer will require familiarity with Microsoft office, database and excel spreadsheet software, as well as the ability to learn new software. It Receive phone calls and respond to inquires either directly or through referral to management or other staff.
  • As directed, access petty cash and reconcile its use with Executive Administrative Assistant.
  • Maintain inventory and re-order of office supplies, food, and household supplies. This task includes proper storage and ordering of supplies.
  • Complete assignments in a timely manner, thoroughly and appropriately detailed.
  • Exercise initiative and judgment in handling matters which require immediate response.
  • Maintain contact and correspondence between management, OPWDD representatives and families.
  • Attend meetings, trainings and other events at scattered locations.
  • As directed, work cooperatively with other staff on special projects or assignments.
  • Work schedule and location is subject to change as per the needs of the department.
  • Must be able to transport self to scattered locations, as necessary.
  • Arrange and coordinate management’s travel requirements.
  • Type material from longhand or rough copy.
  • Perform other duties as assigned or as judgment or necessity dictates.
  • Maintain confidentiality at all times.
