About The Position

Assists in providing a well-organized and efficiently maintained office environment in the secondary school within Westwood Community School District.

Requirements

  • High school diploma.
  • Proficiency using Google Workspace, Word and Excel.
  • Comprehensive knowledge of general office procedures and equipment, with secondary school experience, preferred.
  • Must possess good personal, written and oral communication skills.
  • Must be self-directed and able to carry out duties without direct supervision.
  • Must possess a high degree of tact, good judgement and sincerity in dealing with students, employees and parents.
  • Hight energy level.
  • Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.

Nice To Haves

  • Comprehensive knowledge of general office procedures and equipment, with secondary school experience, preferred.
  • Familiarity with MiStar, preferred.

Responsibilities

  • Prepare for the opening and closing of school.
  • Enroll new students and enter information into MiStar.
  • Generate transcript in MiStar for new students.
  • Complete records requests for new students - send for CA 60's, behavior and transcripts.
  • Maintain documentation of records requests received and sent.
  • Follow up on CA-60's not received - create new file if one is not received.
  • Maintain up to date filing of CA-60's for all students.
  • Send out exiting student records to requesting institution- requests for transcripts, behavior, CA-60.
  • Provides secretarial service to the appropriate Building Administrator including, but not limited to, correspondence, mailings, appointments, filing, telephone messages, and related office duties.
  • Maintains an accurate record of budgetary accounts by department or area. (Assures a positive balance prior to submission of requisitions to the appropriate Building Administrator.) Prepares all money deposits as required (classes, clubs, athletics, miscellaneous), provides, and maintains receipts for deposits.
  • Processes all building permits/work orders and maintains a file.
  • Responsible for ordering as directed by the Building Administrator of all general fund items and maintains the current inventory and supply room either individually or cooperatively when there are other secretaries in the building.
  • Issue supplies to teachers and serves as the individual authorized to receive incoming merchandise, books, supplies, etc., as directed by the Building Administrator.
  • Accept, log in, store and dispense students' medications as directed.
  • Collect money for class sponsored activities.
  • Help substitute staff with needed information and materials.
  • Collect payroll information; submit to payroll and HR by due date.
  • Arrange for teachers on staff to substitute when outside substitute is not available; keep accurate payroll records and report to HR and payroll by due date.
  • Greet visitors to school and direct them to the appropriate office or person. Have visitors sign in/out and wear visitor tags, as needed.
  • Process and log/keep record of all requests for school enrollment and/or school verification.
  • Post all notices received from the board office daily.
  • Keep an accurate record of notices and forms requested of teachers as to deadline date; checking to make sure all have turned them in, as needed.
  • Disburse and keep records of student and teacher accident reports.
  • Assume duties in connection with the Selective Service (Armed Forces); post notices, make announcements and mail applications to the Selective Services.
  • Answers and screens telephone calls, providing information when appropriate and handling public inquiries and complaints; makes outgoing calls to obtain and communicate information. Receives and relays telephone messages to appropriate personnel.
  • Provides accurate information to the general public and students regarding school services and related programs.
  • Make arrangements for meetings as directed, including meeting notices, appointments, schedules, and agendas.
  • Receives, sorts, and routes incoming correspondence for school-wide distribution of mail within 24 hours of arrival.
  • Maintains files on correspondence and general educational material, including confidential files and student and District records.
  • Logs and records employee absences and timecards and submits a complete payroll, absence forms, and signed forms to payroll.
  • Maintains all correspondence and schedule of teacher conferences and field trips.
  • Monitor daily student attendance records, input student absence information into MiStar system, and perform all related functions as designated by the Building Administrator.
  • Performs attendant duties for recording of new admissions, active student records, inactive student records, and record verification as directed by the appropriate Building Administrator.
  • Provides clerical support services for special education department, required reports, files, IEPs, confidential medical/psychological reports, and special services referral requests as directed by the appropriate Building Administrator.
  • Assists in performing all related clerical functions for summer school enrollment as directed by the appropriate Building Administrator.
  • Provides telephone and personal contact with potential schools of choice enrollment during the summer period.
  • Provides clerical support to Building Administrator and teaching staff as required for summer school program.
  • Prepares appropriate records, documents, correspondence, filing, purging of files, recording of student records, and other duties as assigned by Building Administrator during summer period in order to prepare for fall enrollment and return to regular school year.
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Evaluate situations (i.e., involving other staff, students, parents, the public, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
  • Monitors assigned activities and/or program components (i.e., attendance, program budget, time sheets, etc.) for the purpose of ensuring compliance with financial, legal, and/or administrative requirements.
  • Performs other duties as assigned by the appropriate Building Administrator.
