About The Position

Summary: Provide confidential secretarial and clerical support necessary for efficient and effective administering of school office duties. To act as the liaison between parents and teachers/administrators. Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Job Tasks Descriptions: Acts as a receptionist: making visitors feel welcomed and wanted; greeting all incoming visitors for the purpose of ensuring that guests sign in/out as required; answering telephone calls in a pleasant and efficient manner; communicating effectively in routine, sensitive, and confidential matters. Organizes and maintains an efficient and effective office that handles a variety of tasks for the administration, faculty, students, and parents of the school. Evaluates situations (e.g. involving other staff, students, parents, the public, police, probation department, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolutions. Performs secretarial and clerical tasks of a varied nature. Responds to student needs for medical attention in the absence of the school nurse. Maintains efficient and well organized electronic and paper data collection and filing systems, including confidential student and personnel files. Responds to inquiries from a wide variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required. Creates forms, compiles and organizes data and information necessary for the efficient operation of the office, completes required district and state data collections, and completes assigned tasks by Principal or designee. Supports and assists Principal and other administrative personnel with administrative functions. Works cooperatively with staff in other offices with the completion of large or time sensitive projects or emergencies. Maintains a safe working environment and operates electronic and other equipment needed to carry out job functions and responsibilities. Keeps informed about school and district activities and other information necessary for the functioning of the office. Communicates to the Principal or designee any unusual situations. Continues to grow through collaboration with fellow staff members and participation in appropriate staff development and workshop programs. Other tasks: Performs all work duties and activities in accordance with District policies, procedures, and safety practices. Performs other duties as assigned.

Requirements

  • High school diploma, completion of G.E.D. or equivalent.
  • A minimum of 2 years of successful experience in a related office position.
  • Keyboarding and organizational skills and the ability to use electronic equipment for word processing, data management, informational retrieval, visual presentations, and communications.
  • Proficient in the use of Google Suite.
  • Demonstrate appropriate telephone etiquette.
  • Perform well under pressure.
  • Perform multiple activities simultaneously.
  • Communicate effectively in oral and written form.
  • Utilize time management techniques to organize and prioritize work.
  • Have excellent integrity and demonstrate good moral character and initiative.
  • Display ethical and professional behavior in working with everyone who communicates or is associated with, the District.
  • Serve as a role model for students and staff in demonstrating positive attitude, appropriate attire and grooming, acceptance of responsibility, and an effective work ethic.
