About The Position

The Secretary Supervisor position at The Evergreen State College is a full-time role located in Olympia, specifically within the Student Activities department. This position serves as the primary administrative assistant and public contact for Student Activities and New Student Programs, reporting directly to the Director of Student Activities. The Secretary Supervisor is responsible for a variety of administrative and clerical tasks that support the Director, staff, and student employees or graduate assistants. Key duties include greeting and receiving students and customers, answering phone calls, responding to voicemails and emails, scheduling appointments, managing equipment check-in/out processes, handling correspondence, purchasing and reconciliation, generating vendor contracts, and overseeing space scheduling and stewardship. Additionally, this role involves records management and assisting students and contractors with the completion of required forms and documentation. The Secretary Supervisor directly supervises up to five student employees, providing guidance and support in their roles. The Student Activities and New Student Programs department offers a range of unique and enriching opportunities for students at The Evergreen State College. This includes multiple student governance groups, an FM licensed radio station, a student-run newspaper, new student orientation programs, and various grassroots student organizations. The diverse student groups represent a wide array of interests, including art, music, culture, wellness, politics, environmental issues, and educational opportunities. The Secretary Supervisor plays a crucial role in facilitating these activities and ensuring that the office operates smoothly and efficiently. In terms of essential functions, the Secretary Supervisor is expected to provide administrative and clerical support, manage space scheduling and stewardship, and maintain records and data management. This includes coordinating a high-traffic office environment, developing new documents and communications, processing various forms and correspondence, supervising student employees, and managing logistics for training and orientation programs. The role also requires maintaining program webpages and participating in meetings and committees as needed. The Secretary Supervisor must possess exceptional organizational skills, customer service abilities, and the capacity to handle competing demands in a dynamic office setting.
